Position Overview
Education Through Music-Colorado (ETM-CO) is seeking a highly organized, proactive, and systems-oriented Executive Operations Coordinator to help strengthen internal operations and increase organizational capacity as we continue to grow.
This part-time role (10-15 hours per week) will serve as a key operational partner to the Executive Director, helping reduce administrative burden, improve internal systems, and support the infrastructure that allows ETM-CO to expand access to music education across Colorado.
The Executive Operations Coordinator will support coordination across administrative functions, help implement and maintain organizational systems, and create efficient workflows across fundraising, grants, operations, and team collaboration.
This role is ideal for someone who enjoys building order from complexity, creating sustainable systems, and supporting mission-driven work through strong execution and follow-through. The ideal candidate is resourceful, proactive, and excited to contribute in a collaborative, fast-growing, entrepreneurial nonprofit environment.
Compensation
- Part-time (10-15 hours per week)• $30-$35/hour, depending on experience• Flexible scheduling with primarily remote work; preference for candidates based in the Denver metro area who are available to attend occasional in-person meetings, school visits, events, and team gatherings
Key Responsibilities
Executive & Administrative Support• Provide administrative and operational support to the Executive Director to increase leadership capacity and organizational effectiveness• Manage scheduling, meeting coordination, and administrative workflows• Support board and committee logistics, meeting preparation, and follow-up• Coordinate internal documentation and maintain organized operating systems
Systems & Operations Management• Support implementation, administration, and ongoing maintenance of organizational systems and platforms, including:– CRM/database for donor and relationship management– Project management platform for team coordination– Grants management software– Google Workspace and shared file organization• Help establish, document, and improve internal processes and workflows• Maintain organizational records, dashboards, and tracking systems• Identify opportunities to improve efficiency and streamline operations
Development Operations Support• Maintain fundraising and donor records within the CRM• Coordinate donor stewardship and follow-up workflows• Schedule donor meetings, school visits, and cultivation activities• Manage grants administration processes, including maintaining grant portal credentials, tracking submission and reporting deadlines, and coordinating timely application submissions• Support document preparation and administrative coordination for grant applications and reports (grant writing not required)
Events & Cross-Functional Coordination• Support logistics and coordination for fundraising events, community events, and special initiatives• Assist with timelines, materials, communications, and follow-up• Coordinate across staff, consultants, and external partners as needed• Support additional operational priorities as organizational needs evolve
Qualifications
- 2-5 years of experience in operations, executive support, project coordination, development operations, nonprofit administration, or related fields• Strong organizational and project management skills with exceptional attention to detail• Experience working with databases/CRMs; familiarity with Salesforce or comparable CRM platforms is a plus• Experience supporting implementation, administration, or ongoing management of organizational systems and digital workflows• Strong proficiency in Google Workspace• Ability to work independently, manage multiple priorities, and maintain strong follow-through• Resourceful, proactive, and comfortable navigating ambiguity and evolving priorities• Excellent written and verbal communication skills• Comfortable working in a dynamic, collaborative, entrepreneurial nonprofit environment
Preferred Qualifications
- Experience in nonprofit operations, fundraising operations, or executive support• Familiarity with grants administration and donor stewardship processes• Experience with project management platforms (Asana, Monday.com, ClickUp, or similar)• Experience organizing shared drives, documentation systems, and knowledge management• Experience supporting CRM setup, maintenance, reporting, or data integrity initiatives

Pay: $30.00 - $35.00 per hour
