Position: Office Administration

Position Summary:
We are looking for a friendly, organized, and customer-focused person to join our team. In this role, you'll help ensure a positive patient experience by greeting patients, scheduling appointments, answering phones, and providing administrative support in a busy family practice. The ideal candidate is professional, detail-oriented, and committed to maintaining patient confidentiality while supporting the smooth day-to-day operations of the clinic.
Essential Functions:
- Greet all patients and visitors in a professional and friendly manner.
- Answer and route phone calls, take accurate messages, and provide essential information to callers professionally.
- Schedule, reschedule, and cancel patient appointments in accordance with operational standards and document appropriately.
- Assists with verifying the patient's status, whether new or existing.
- Inform patients of clinic policies (e.g., no-shows, bringing all medications to each visit, insurance cards, etc.), obtain a contact telephone number, and verify insurance if applicable.
- Verify insurance coverage and collect co-pays and payments, if applicable.
- Inform nurses of any unusual or unusual situations that require their attention, as noted in the admission information.
- Print incoming faxes requiring signatures and route them to the appropriate department or individual for review and signature.
- Assist with all front office functions and provide support to team members as needed to maintain efficient office operations.
- Maintain the cleanliness and organization of the front desk area.
- Release prescriptions to authorized individuals after obtaining the required signatures.
- Keep the supervisor informed of any issues or concerns that require attention.
- Adhere to HIPAA guidelines.
- Arrive at the office on time and ready to work.
- Adhere to company policies.
- Works when scheduled and complies with the company's attendance policy.
- Perform other duties as assigned.
Requirements:
- High School education or GED equivalent.
- Must be able to pass a background check and drug test.
- One (1) to two (2) years of experience in an office setting with responsibilities including answering multi-line phones, greeting visitors or customers, scheduling appointments, and performing general administrative duties.
- Strong communication and interpersonal skills.
- Ability to handle multiple tasks in a fast-paced environment.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Detail-oriented with strong organizational skills.
- Ability to maintain professionalism and confidentiality.
Physical Requirements/Working Conditions:
Typical business office environment. This role requires prolonged periods of sitting at a desk while working on a computer, as well as frequent standing and walking to assist patients and manage administrative tasks. It also involves occasional lifting of up to 20 pounds, as well as bending, stooping, and reaching to retrieve and file documents. Clear hearing and speech are essential for effective communication with patients and staff. Vision adequate to perform essential functions, such as reading telephone displays/computer terminals, for extended periods.
Salary is based on experience.
