Transportation Safety Assistant

Position Summary
We are seeking a detail-oriented Transportation Safety Assistant to support our Safety & Compliance team. This position plays a key role in maintaining DOT/FMCSA compliance by managing driver qualification files, tracking regulatory requirements, supporting safety programs, and assisting with fleet compliance activities.

Responsibilities
- Maintain and update Driver Qualification Files (DQFs) to ensure compliance with DOT/FMCSA regulations.
- Track expiration dates for driver's licenses, medical certificates, MVRs, and other compliance documents, and coordinate timely renewals.
- Schedule and monitor DOT drug and alcohol testing, including pre-employment, random, post-accident, and reasonable suspicion testing.
- Process and maintain accident, incident, near-miss, and workers' compensation documentation.
- Assist with insurance documentation, policy renewals, certificates of insurance, and claims administration.
- Monitor Electronic Logging Device (ELD) data and Hours of Service (HOS) reports for compliance issues.
- Prepare documentation for DOT audits, roadside inspections, insurance audits, and internal compliance reviews.
- Support new driver onboarding by preparing orientation and compliance paperwork.
- Coordinate safety meetings, training records, and required documentation.
- Maintain organized electronic and paper filing systems for all safety and compliance records.
- Respond to requests for driver qualification and compliance documentation from internal departments.
- Perform data entry, reporting, and other administrative duties as assigned.
QualificationsRequired
- High school diploma or GED.
- At least one year of administrative or office experience.
- Strong organizational skills with exceptional attention to detail.
- Proficiency in Microsoft Office (Excel, Word, and Outlook).
- Excellent written and verbal communication skills.
- Ability to maintain confidential information with professionalism.
- Knowledge of claims, incident reporting, and administrative recordkeeping.
- Ability to manage multiple priorities and meet recurring deadlines.
Preferred
- Experience in the trucking, transportation, or logistics industry.
- Familiarity with DOT/FMCSA regulations.
- Experience with Electronic Logging Devices (ELDs), transportation management systems (TMS), or safety management software.
- Associate degree in Business Administration, Logistics, Transportation, or a related field.

Pay: $18.00 - $22.00 per hour
