Position Summary
· The Office Manager is responsible for the accurate and timely maintenance of all parishioner, financial, and human resource records for the parish community.
· This role also manages parish and pastor correspondence, maintains the pastor’s calendar, and oversees the reception desk to ensure smooth daily operations.
Parishioner Record Keeping (5 hours/week)
· Maintain parish census and sacramental records within the diocesan database
· Record sacraments in permanent parish record books
· Generate and distribute reports as requested by staff
· Record parishioner deaths in permanent records
· Issue sacramental certificates and send notifications to appropriate churches
· Coordinate marriage documentation with clergy
· Support religious formation staff with student tuition administration
Bookkeeping & Financial Reporting (28 hours/week)
· Verify and approve employee time submissions for payroll
· Process payroll in coordination with diocesan systems
· Maintain parish accounting records across platforms
· Perform monthly reconciliation of all cash accounts
· Ensure proper allocation and accuracy of designated funds
· Ensure timely payment of all parish expenses
· Manage parishioner envelope systems with vendor coordination
· Track and maintain parishioner contribution records
· Monitor ministry budgets for compliance
· Prepare monthly and annual financial reports
· Submit required federal and state tax reports
· Develop and submit the annual parish budget
· Manage office equipment purchases and service contracts
· Coordinate and attend Finance Council meetings
Human Resources (2 hours/week)
· Maintain employee personnel files
· Coordinate with diocesan payroll and HR systems
Administrative Support (5 hours/week)
· Manage parish and pastor correspondence
· Maintain and coordinate the pastor’s calendar
· Organize and maintain the pastor’s personal files
· Oversee office supply inventory and procurement
Additional Responsibilities
· Supervise reception staff and office volunteers
· Support front desk operations, including phone inquiries, walk-ins, and calendar coordination

Pay: $55,000.00 - $60,000.00 per year
