- 06:45 to 3:15 PM and 3:00 PM – 7:30 PM
- Additional hours may be available to cover vacations, sick leave, and office needs
Job Summary
Learning to Achieve Wellness is seeking a friendly, dependable, and patient-focused Medical Receptionist to join our growing psychiatric and behavioral health practice. This is an in-person evening position that serves as the face of our office, providing exceptional customer service while ensuring smooth front office operations.

Responsibilities:
Patient Reception & Customer Service
- Welcome patients, families, and visitors with a warm, professional attitude
- Create a positive first impression by providing outstanding customer service
- Check patients in and out for appointments
- Maintain patient confidentiality and HIPAA compliance
- Keep the reception area clean, organized, and welcoming throughout the shift
Communication
- Answer incoming calls for multiple office locations promptly and professionally
- Respond to patient text messages through the office communication system in a timely manner
- Monitor and return voicemail messages promptly
- Communicate effectively with providers, medical assistants, therapists, coordinators, and office leadership
- Contact pharmacies regarding prescriptions, refill requests, and medication questions when appropriate
Scheduling Duties
- Schedule new and established patient appointments
- Print daily provider schedules and required patient paperwork
- Print E-FORCSE reports for providers as needed
- Process incoming and outgoing faxes
- Complete work notes, school notes, and other patient documentation requests
- Scan and upload documents into the electronic medical record
Financial Responsibilities
- Collect copays, coinsurance, outstanding balances, and past-due amounts
- Assist patients with payment plans when appropriate
- Accurately document daily collections
- Balance daily receipts and maintain accurate financial records
- Assist with weekly bank deposits as assigned
- Work closely with the billing department regarding patient account questions
Team Collaboration
- Work closely with providers, medical assistants, and leadership to ensure excellent patient care
- Assist coworkers during busy periods
- Help cover lunches or front desk responsibilities when needed
- Maintain flexibility and a positive team attitude
Clinical Duties
- Administer injections as ordered by the provider
- Complete Transcranial Magnetic Stimulation (TMS) treatments after obtaining certification/training
- Assist with and monitor Spravato treatments according to office protocols
- Obtain and document manual vital signs
- Collect and process laboratory specimens and urine drug screens (UDS)
- Review provider chart notes to assist in answering patient questions between visits
- Monitor patients during in-office treatments and report concerns to providers promptly
Administrative Duties
- Answer patient questions and provide follow-up communication between appointments
- Call pharmacies regarding prescriptions, refill requests, and medication issues
- Complete prior authorizations (PA) for medications
- Complete Medicaid consent forms and other required patient paperwork
- Prepare and complete work/school excuse notes
- Assist patients with forms and documentation requests
- Maintain accurate and timely medical records and documentation
- Support office workflow and collaborate effectively with the clinical team
Qualifications
- Medical Assistant certification preferred
- Previous experience in psychiatry, behavioral health, or outpatient medical office preferred
- Experience administering injections required
- Ability to take manual vital signs accurately
- Strong communication and patient service skills
- Comfortable handling sensitive and confidential patient information
- Strong organizational and multitasking abilities
- Ability to work independently and as part of a team
- Experience with electronic medical records (EMR/EHR) systems preferred
- High school diploma or GED required
- Previous medical receptionist or healthcare front desk experience preferred
- Psychiatric or behavioral health experience is a plus
- Strong customer service and communication skills
- Excellent phone etiquette
- Comfortable using computers and electronic medical record (EMR) systems
- Ability to multitask in a fast-paced environment
- Dependable, organized, and detail-oriente
Preferred Skills
- Knowledge of psychiatric medications and mental health terminology
- Experience with TMS or willingness to complete certification/training
- Experience assisting with Spravato treatments
- Familiarity with Medicaid forms and insurance prior authorizations
- Understanding of laboratory collection procedures and urine drug screening protocols
