Responsibilities
- Manage front desk duties including greeting visitors, answering multi-line phone systems, and providing exceptional customer service.
- Handle calendar management, scheduling appointments, meetings, and coordinating events with precision.
- Perform data entry tasks using spreadsheets, Word processing, and productivity software to maintain accurate records.
- Utilize QuickBooks for basic bookkeeping tasks such as invoicing, expense tracking, and financial record keeping.
- Maintain organized filing systems—both digital via Google Workspace and physical files—to ensure quick retrieval of information.
- Support office management activities by overseeing supply inventory, coordinating repairs, and ensuring a tidy workspace.
- Assist with client communication through phone calls, emails, and written correspondence while demonstrating professional phone etiquette.
Requirements
- Proven office experience with strong clerical skills and familiarity with office management procedures.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools for document creation and collaboration.
- Experience with data entry, filing systems, and maintaining accurate records in spreadsheets.
- Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment.
- Strong computer literacy including technical proficiency in office productivity software and basic bookkeeping using QuickBooks.
- Bilingual abilities are highly valued to support diverse client needs.
- Previous experience as a receptionist or personal assistant is preferred; dental or medical receptionist experience is a plus.
- Exceptional communication skills—both verbal and written—and a professional phone manner.
- Ability to manage multiple responsibilities simultaneously while maintaining attention to detail.
