Job Overview
We are looking for a motivated and organized experienced Administrative Assistant to join our plumbing company. This position is ideal for someone who wants to learn the plumbing and construction industry from the ground up while supporting daily office operations and working closely with the lead plumber.
The ideal candidate is dependable, professional, eager to learn, and comfortable communicating with customers and local building departments.
Responsibilities
- Greet clients, visitors, and vendors at the front desk with professionalism and warmth, providing exceptional customer service.
- Answer incoming phone calls and assist customers
- Schedule service appointments and manage the company calendar
- Dispatch plumbers and coordinate daily job schedules
- Communicate with customers regarding appointment times and updates
- Assist with permits, inspections, and building department paperwork
- Learn and help manage building department requirements and procedures
- Organize job files and customer records
- Follow up with customers regarding scheduling
- Maintain office organization and administrative support tasks
- Coordinate with suppliers, vendors, and subcontractors as needed
- Assist with data entry and document management
- Support the plumber with daily operational tasks
- Learn plumbing industry terminology, codes, and processes
- Help ensure jobs stay organized and on schedule
Qualifications
- Spanish speaking preferred
- Strong communication and customer service skills
- Organized and detail-oriented
- Comfortable answering phones and multitasking
- Basic computer skills (email, scheduling, Microsoft Office/Google Workspace)
- Ability to work in a fast-paced environment
- Willingness to learn the plumbing and construction industry
- Reliable, punctual, and professional
- Prior office experience
- DOB experience preferred
