Receptionist / Administrative Assistant

About the Role
We are looking for a friendly, professional, and highly organized Receptionist / Administrative Assistant to be the welcoming face of our Phoenix office. This position is ideal for someone who enjoys working with people, staying organized, and keeping an office running smoothly.
As the first point of contact for clients, visitors, vendors, and employees, you will play an important role in creating a positive professional experience while also providing day-to-day administrative support to the team.
What You'll Do
- Welcome and assist visitors, clients, and vendors in a friendly and professional manner.
- Answer, screen, and direct incoming phone calls and respond to general inquiries.
- Manage incoming and outgoing mail, packages, deliveries, and other office correspondence.
- Schedule appointments, meetings, and conference rooms.
- Maintain office supplies, monitor inventory, and place orders as needed.
- Perform data entry, filing, scanning, copying, and document management.
- Assist with preparing reports, correspondence, presentations, and other administrative materials.
- Maintain a clean, organized, and professional reception and common-area environment.
- Provide clerical and administrative support to various departments as needed.
- Follow visitor sign-in procedures and company policies related to office security.
- Help ensure the office operates efficiently and professionally each day.
- Take on other administrative projects and duties as needed.
What We're Looking For
- High school diploma or equivalent.
- 1–3 years of experience in a receptionist, administrative assistant, office coordinator, or customer service role.
- Strong proficiency with Microsoft Office, including Word, Excel, and Outlook.
- Excellent verbal and written communication skills.
- Strong organizational skills and attention to detail.
- Ability to prioritize and manage multiple tasks in a busy office environment.
- Professional, dependable, and positive approach to working with others.
- Ability to work independently while also being a collaborative team member.
- Strong customer service mindset and professional demeanor.
Preferred Qualifications
- Experience working with a multi-line phone system.
- Familiarity with standard office equipment, including copiers, scanners, and printers.
- Experience with calendar management and meeting coordination.
- Basic bookkeeping, invoicing, or accounting experience is a plus.

Work Environment
- Full-time, in-person position in Phoenix, AZ.
- Monday–Friday during regular business hours.
