Two new healthcare facilities are under construction in the Valley, and the ownership and operations team is seeking an experienced independent construction administrator to support project documentation, procurement, and contract coordination across both sites. This is a contract engagement for a self-directed professional who runs their own operation.
Scope of work:
- Run the weekly Owner-Architect-Contractor (OAC) meeting and capture and distribute the notes
- Track project information (submittals, RFIs, schedules, deliveries, inspections, approvals, and deadlines) and keep the project tracking system current
- Enter and reconcile expenses, invoices, and cost data in our construction software (Contractor Foreman)
- Support procurement by researching and sourcing vendors, preparing and tracking purchase orders, and maintaining procurement records in our project and ERP systems
- Support vendor management by gathering performance data, monitoring compliance, and helping maintain strong supplier relationships
- Manage all project documentation, including contracts, change orders, drawings, permits, and correspondence, through the project's document management systems
- Review contracts and legal documents for adherence to applicable standards, including the Federal Acquisition Regulation (FAR) and the Uniform Commercial Code (UCC), and flag issues for the project team's review
- Help coordinate contract review with contractors and vendors, preparing comparisons and summaries to support the project team's negotiations
- Support contract administration by tracking deadlines, renewals, and amendments, and routing documents for timely execution using digital tools such as SignNow
- Assist with research on project scope, market pricing, and business development opportunities to improve project outcomes
- Maintain meticulous records of all project activity, including procurement transactions, legal documentation, and records-management protocols
- Support change-management efforts with the project team to adapt scope or schedule efficiently without compromising quality or compliance
- Produce and distribute minutes for other construction meetings
- Provide the project team with insights on vendor performance, procurement trends, and contracting best practices to support planning
You're a fit if you:
- Have prior construction administrative, procurement, or project-coordination experience
- Are highly organized and detail-driven, and can manage two active projects at once
- Are proficient with spreadsheets, ERP/document-management systems, and construction management software (Contractor Foreman a plus)
- Are familiar with contract review and procurement processes (knowledge of FAR and UCC a plus)
- Can provide your own equipment and reliable transportation between sites
- Hold or can obtain a valid Arizona Fingerprint Clearance Card (healthcare environment; may involve protected health information)
How this engagement works: Because both projects are under active construction, on-site presence at the job sites is expected each business day, Monday through Friday.
