Position Summary
Specialty Restoration of Texas, Inc. is seeking an experienced, dependable, and detail-oriented HR & Payroll Administrator to join our team.
Someone who takes ownership of their responsibilities and enjoys supporting employees while ensuring payroll and HR functions are completed accurately and on time.
This position is responsible for the day-to-day administration of payroll and human resources functions for the company. The ideal candidate will have hands-on payroll experience, a strong understanding of employee benefits and HR administration, excellent organizational skills, and the ability to handle confidential employee and company information with professionalism and discretion.
This is a key administrative position that works closely with company management, accounting, supervisors, and employees throughout the organization.
Duties & Responsibilities
Payroll Administration
- Compile, review, and verify employee timecards and process weekly payroll.
- Verify employee time and payroll information against the company's job management system.
- Process payroll deductions, including child support and other required deductions.
- Prepare and submit weekly 401(k) contributions.
- Prepare and enter payroll journal entries into the company's accounting system.
- Process employee commissions twice per month.
- Process vehicle reimbursement payments.
- Maintain and update employee payroll information, deductions, and reimbursement schedules.
- Assist with payroll tax reporting and other required payroll filings.
- Assist with preparation and distribution of W-2s and annual payroll reporting.
- Maintain accurate and confidential payroll records.
- Provide payroll reports to management as requested.
Human Resources Administration
- Process new hires and employee terminations in the payroll and HR systems.
- Complete and maintain employee I-9 documentation and personnel records.
- Coordinate required background checks and pre-employment drug screenings.
- Prescreen applicants and assist with recruiting and posting open positions on Indeed and other approved sources.
- Maintain organized and accurate employee personnel files.
- Provide employment and payroll verifications as requested.
- Process employee vacation and personal time requests.
- Maintain and distribute updated employee contact information.
- Assist management with employee complaints and workplace investigations.
- Coordinate HR-related training for employees as needed.
- Assist with unemployment claims and required documentation.
- Monitor changes in employment laws, payroll requirements, and required employment forms.
Employee Benefits
- Administer employee health, dental, vision and other company-sponsored benefit programs.
- Monitor new employees for benefit eligibility.
- Coordinate annual health insurance open enrollment and employee orientation.
- Reconcile monthly health insurance invoices and coordinate payments.
- Reconcile and process other employee benefit payments.
- Coordinate semi-annual 401(k) enrollment and employee orientation.
- Prepare health insurance and 401(k) census information and annual reporting information.
- Assist employees with general benefit and enrollment questions.
Compliance & Reporting
- Assist with OSHA reporting and required annual filings.
- Process and report employee workplace injuries and workers' compensation claims.
- Assist with ACA reporting, including preparation and distribution of Form 1095 information.
- Prepare required Texas Workforce Commission reports and update payroll information based on TWC tax-rate notices.
- Assist with quarterly and annual payroll tax reporting.
- Review annual changes to payroll and employment laws and determine whether new or revised forms and procedures are required.
- Maintain appropriate documentation to support payroll, benefits, and HR compliance.
General Administrative Responsibilities
- Respond to employee emails and HR/payroll questions in a timely and professional manner.
- Assist with incoming telephone calls as needed.
- Prepare employee birthday and anniversary communications.
- Maintain a high level of confidentiality regarding payroll, compensation, benefits, and personnel matters.
- Perform other HR, payroll and administrative duties as assigned.
Skills & Knowledge Requirements
- Previous payroll processing experience required.
- Previous HR administration experience preferred.
- Experience with QuickBooks Payroll or similar payroll software preferred.
- Knowledge of payroll deductions, taxes, and payroll reporting.
- Familiarity with employee benefits administration, including health insurance and 401(k) plans.
- General knowledge of federal and Texas employment laws and HR compliance requirements.
- Experience with workers' compensation, unemployment claims, I-9 documentation, and employee onboarding preferred.
- Proficiency with Microsoft Outlook, Excel, and Word.
- Strong attention to detail and accuracy.
- Excellent organizational and time-management skills.
- Ability to manage multiple deadlines and recurring responsibilities.
- Strong written and verbal communication skills.
- Ability to work effectively with employees at all levels of the organization.
- Must exercise discretion and maintain strict confidentiality.
- Dependable, professional, and able to work independently.
Education & Experience
- High school diploma or equivalent required.
- Associate's or bachelor's degree in Human Resources, Accounting, Business Administration or a related field is preferred but not required.
- 2+ years of payroll, HR or related administrative experience preferred.
- SHRM, PHR or payroll certification is a plus but is not required.
Pre-Employment Requirements
Drug screen and background check are required in accordance with applicable laws and regulations.
