Staff and Clinic Management:
Overview
The Practice Manager is responsible for the overall management of business operations and clinical processes within the clinic. The role requires close collaboration with both operational and clinical leadership to ensure that organizational goals and objectives are achieved. This position supervises and directs clinic staff, oversees daily clinic operations, and serves as the point of contact for human resource-related inquiries.
Responsibilities and Authority
- Establishes and maintains positive working relationships with all clinic staff to achieve organizational goals and enhance patient experience.
- Directs, supervises, and coordinates clinic activities, including daily workflows, systems management, materials management, and data processing.
- Identifies and resolves issues related to staffing, facility utilization, equipment, and supplies.
- Ensures clinic compliance with industry standards, including Quality Assurance, HIPAA, OSHA/Infection Control, and Risk Management protocols.
- Works collaboratively with medical and administrative staff to ensure all regulatory requirements are met.
- Monitors and analyzes operational issues, patient flow, and clinic procedures. Reports findings and recommends improvements to operational leadership.
- Assesses and addresses downward trends in patient visits by reviewing patient processes, scheduling, and provider utilization.
- Conducts daily team huddles to discuss provider schedules, clinic activities, and corrective action plans. Identifies issues that need escalation and resolution beyond the team.
- Gathers and reports monthly data for statistical and planning purposes, identifying positive outcomes and adverse trends. Implements corrective action plans to improve clinic performance.
- Follows operational leadership’s guidance to ensure staff adherence to policies and procedures. This includes taking disciplinary action if necessary.
- Assists in the recruitment, training, and orientation of new staff and provides ongoing staff development to meet organizational goals.
- Participates in the recruitment and interview process for new hires in conjunction with clinical management and Human Resources.
- Monitors payroll systems, including employee time management, overtime, absenteeism, and tardiness trends, ensuring accuracy and efficiency.
- Ensures performance reviews are conducted in a timely and accurate manner.
- Undertakes additional tasks as assigned to support the clinic’s operations and organizational goals.
Qualifications, Knowledge, Skills
Education:
- Associate degree in business, finance, or healthcare preferred.
- Bachelor of Science or Business Administration highly desirable.
- Experience may be considered in lieu of education.
Experience:
- Minimum of five (5) years of experience in healthcare management or supervision.
- Demonstrated knowledge of computer systems and applications, including electronic medical records (EMR).
- Strong background in quality assurance programs, data analysis, and interpreting healthcare data.
Skills:
- Expertise in planning, organizing, delegating, problem-solving, and decision-making.
- Solid understanding of HR regulations, including OSHA, EEOC, payroll, and labor law practices.
- Proven leadership skills, with the ability to mediate conflict and act as a “change agent.”
- Strong initiative, judgment, and discretion in decision-making.
- Experience in developing policies, procedures, and training programs.
- Excellent interpersonal skills, with the ability to communicate effectively with staff, patients, and external agencies.
Additional Skills:
- Demonstrated success in improving patient care or workflow processes.
- Professional appearance and public speaking abilities.
- Proven ability to train and onboard new staff while providing ongoing training.
Typical Physical Demands and Working Condition
Physical Demands:
- Frequent mobility and/or sitting for extended periods.
- Prolonged use of data entry and phone systems.
- Occasional lifting (up to 50 pounds) of office supplies or boxes.
- Manual dexterity for keyboard use and operation of office equipment.
- Corrected vision and hearing to normal range required.
- High-stress position due to supervision responsibilities and patient interaction.
Working Conditions:
- Occasional overtime may be required to complete daily schedules and handle HRSA reporting requirements.
- Potential weekend work based on operational needs.
