About the Team
The Facility Management Services Coordinator is part of the Risk Management & Mitigation Division and works closely with the Facility Manager and internal business partners throughout WoodmenLife.
The Facilities team is responsible for maintaining a safe, efficient, and functional workplace while supporting associate relocations, office services, shipping and receiving operations, conference center management, furniture installation, and day-to-day facility needs.
Role Summary
The Facility Management Services Coordinator assists the Facility Manager in ensuring the smooth, safe, and efficient operation of WoodmenLife's physical workspaces.
This role serves as a key resource for facility services, workplace support, shipping and receiving operations, office moves, conference room setup, and furniture management. The position also helps support facility improvements, internal service requests, and workplace operations that contribute to a positive employee experience.
What You'll Do
Facility Operations & Workplace Services
- Support associate relocations, workspace moves, and furniture reconfigurations.
- Assist with workstation setup and workplace adjustments.
- Provide day-to-day facility support to ensure an efficient work environment.
- Assist with facility improvement projects and workplace initiatives.
- Support internal customers with facility-related requests and services.
Shipping & Receiving
- Receive and distribute shipments throughout the Home Office.
- Deliver office supply inventory, including paper and envelopes, to departments.
- Process outgoing shipments using the FedEx shipping system.
- Assist with shipment preparation and distribution of materials to the Sales Force.
- Coordinate shipping and receiving activities while maintaining accurate records.
Conference Centers & Event Support
- Set up conference rooms and meeting spaces for business meetings and events.
- Reconfigure furniture and room layouts to support organizational needs.
- Ensure meeting spaces are prepared and ready for use.
Facilities Maintenance & Support
- Rotate and manage shredding bins throughout the facility.
- Support furniture moves and workspace modifications.
- Assist in maintaining a clean, organized, and safe working environment.
- Coordinate facility service requests and work orders as assigned.
Customer Service & Collaboration
- Deliver seamless, trustworthy, attentive, and resourceful (S.T.A.R.) customer service.
- Build positive working relationships with associates and business partners.
- Communicate effectively regarding facility services and workplace needs.
- Support special projects and additional duties as assigned.
Level II Responsibilities
As experience and proficiency increase, this role may also:
- Independently resolve more complex facility-related issues.
- Conduct ergonomic assessments and workstation adjustments.
- Support associate workspace relocations, including proper PC and phone connectivity.
- Receive inventory and materials through the Lawson Financial Management System.
- Process incoming and outgoing laptops and technology equipment.
- Complete advanced facility support activities with minimal supervision.
What You Bring
Minimum Qualifications
- High School Diploma or equivalent combination of education and experience.
- Basic computer and keyboarding skills.
- Experience with Microsoft Word and Excel or a willingness to learn.
- Ability to efficiently enter, retrieve, and manage information using a PC.
- Strong customer service skills and commitment to delivering a positive associate experience.
- Strong interpersonal and communication skills.
- Ability to work effectively both independently and as part of a team.
- Professional attitude and commitment to teamwork and service excellence.
- Ability to meet expectations for attendance, punctuality, and dependability.
Preferred Qualifications
- Experience in facilities support, office services, workplace operations, shipping and receiving, or related fields.
- Experience with inventory management systems or shipping software.
- Familiarity with workstation setup, ergonomic adjustments, and office relocations.
- Experience supporting conference centers, meeting spaces, or corporate facilities.
