Operations Coordinator / Executive AssistantJob Summary
Plush in a Rush is a long-established wholesale plush company based in Dallas, Texas. We have served customers nationwide since 1992, including florists, gift shops, boutiques, schools, businesses, and organizations.
We are entering an important new chapter as ownership transitions to the next generation, and we are looking for a highly organized, practical, trustworthy person to help keep the business running smoothly.
This role is part executive assistant, part operations coordinator, and part follow-up person. You will work closely with the owner and longtime leadership to help coordinate communication between the office, warehouse, vendors, customers, and ownership.
This is not a traditional corporate executive assistant role focused only on calendars and travel. It is a hands-on small-business operations role for someone who enjoys bringing order to a busy environment, keeping track of details, improving processes, and helping people communicate clearly.
The right person will be steady, mature, organized, and comfortable working in a small business where every day may look a little different.
Duties and Responsibilities
Responsibilities may include:
- Serving as a communication bridge between the owner, office staff, warehouse team, vendors, and customers
- Helping track open tasks, questions, deadlines, and follow-ups
- Preparing clear summaries for the owner so decisions can be made quickly and efficiently
- Assisting with vendor communication, product details, purchase orders, and order-related issues
- Supporting customer service follow-up and helping make sure issues are resolved
- Helping document company procedures, checklists, and internal processes during a leadership transition
- Coordinating with warehouse staff on inventory, receiving, packing, shipping, or product questions when needed
- Helping maintain internal notes, files, spreadsheets, reports, and records
- Assisting with basic administrative tasks, email communication, office organization, and internal follow-up
- Looking for repetitive tasks or messy processes that could be simplified, better documented, or improved
- Using business software, spreadsheets, and AI tools to help organize information, create templates, draft procedures, and improve workflows
- Taking on special projects as needed in a growing and evolving small business
This Job May Be a Good Fit If You
- Are highly organized and enjoy keeping track of many small details
- Are comfortable in a small-business environment where people wear multiple hats
- Can follow up without being pushy and take initiative without being bossy
- Are steady, practical, and not easily rattled
- Enjoy making messy processes more organized
- Communicate clearly by email, phone, and in person
- Are comfortable working with office staff, warehouse employees, vendors, and customers
- Can earn trust by being reliable, discreet, and consistent
- Are comfortable learning and using technology, including spreadsheets, business software, and AI tools
- Are looking for a stable long-term role where you can become an important part of the company
This Job Is Probably Not a Good Fit If You
- Need every task to be spelled out in advance
- Only want calendar management, travel booking, and traditional executive assistant work
- Are uncomfortable walking into a warehouse or asking operational questions
- Dislike follow-up, details, checklists, or documenting processes
- Prefer a large corporate environment with layers of management
- Are resistant to learning new software, AI tools, or improved ways of doing things
- Are looking for a short-term stepping-stone job

- Operations coordination
- Customer service or customer issue resolution
