Job Summary
Emperor Health Care Services, LLC is seeking a professional, organized, and dependable Receptionist/Administrative Assistant to support the daily operations of our home health agency. The successful candidate will serve as the first point of contact for patients, families, referral sources, healthcare providers, employees, and visitors while providing excellent customer service and administrative support.
This position requires strong communication skills, attention to detail, confidentiality, and the ability to manage multiple tasks in a busy healthcare office. The ideal candidate will be comfortable working with electronic records, scheduling, data entry, phone calls, and healthcare-related documentation.
Responsibilities
- Greet patients, families, referral sources, vendors, and visitors in a professional and welcoming manner.
- Answer and direct incoming calls and respond to general inquiries professionally.
- Assist with scheduling and coordinating patient visits, staff schedules, meetings, and appointments.
- Receive, organize, scan, fax, and distribute patient and agency documents.
- Assist with maintaining accurate patient and employee records in accordance with agency policies.
- Perform data entry and update information in agency software and electronic medical record systems.
- Assist with referral intake, including receiving referrals and ensuring required information is obtained and forwarded to the appropriate clinical staff.
- Communicate with patients, caregivers, physicians’ offices, insurance companies, referral sources, and agency staff as directed.
- Assist with tracking Plan of Care (POC), physician orders, authorizations, certifications, and other required documentation.
- Assist with sending and following up on physician orders and other clinical documents requiring signatures.
- Maintain organized electronic and paper files while protecting patient confidentiality.
- Assist with office supply inventory, ordering, mail, faxing, copying, and other general office duties.
- Assist the Administrator, Clinical/Case Management team, and other agency leadership with administrative tasks.
- Maintain a professional and organized front-office environment.
- Perform other administrative duties as assigned.
Qualifications
- High school diploma or equivalent required; additional administrative or healthcare training preferred.
- Previous receptionist, administrative assistant, medical office, or home health experience preferred.
- Excellent verbal and written communication skills.
- Professional telephone etiquette and customer service skills.
- Strong organizational skills with excellent attention to detail.
- Ability to multitask, prioritize responsibilities, and work effectively in a fast-paced healthcare environment.
- Proficiency with Microsoft Word, Excel, Outlook, email, and general computer applications.
- Experience with electronic medical records or healthcare software preferred.
- Experience with QuickBooks is a plus.
- Ability to maintain strict confidentiality and comply with HIPAA requirements.
- Bilingual skills are a plus.
- Ability to work independently while also functioning effectively as part of a team.
Preferred Skills
- Healthcare or home health administrative experience.
- Familiarity with Medicare, Medicaid, insurance authorizations, and physician documentation.
- Experience communicating with physicians’ offices, insurance companies, patients, caregivers, and referral sources.
- Knowledge of basic medical terminology.
- Strong follow-up and problem-solving skills.
- Professional, dependable, courteous, and patient-centered approach.

Pay: $20.00 - $26.00 per hour
