This role is a key part of our daily operations—supporting our clients, coordinating with our service team, and helping ensure everything stays organized, on track, and running smoothly.

What You’ll Be Responsible For
- Answering and directing incoming phone calls in a professional, courteous manner
- Assisting customers with questions, requests, and service coordination
- Scheduling service appointments and installations with technicians and clients
- Tracking orders, renewals, service items, and important deadlines
- Providing timely updates and following up to ensure nothing falls through the cracks
- Documenting all relevant details accurately for internal records and continuity
- Creating, organizing, and maintaining files, documentation, and office records
- Taking notes and maintaining clear records from meetings or internal discussions
- Receiving and tracking incoming parts, equipment, and deliveries
- Supporting general office operations, filing, and administrative tasks as needed
- Maintaining a high level of professionalism, organization, and confidentiality at all times
What We’re Looking For
- 4+ years of experience in an office administration or professional office support role
- Strong computer skills and comfort working with multiple systems and software
- Clear, confident communication skills—both written and verbal
- Strong attention to detail and the ability to stay organized in a fast-paced environment
- Reliable, accountable, and able to manage multiple responsibilities at once
- A positive, professional attitude and the ability to work well with both customers and team members

Key Responsibilities:
- Efficiently handle, direct, and respond to phone calls and client inquiries.
- Schedule and coordinate service appointments and installations, ensuring timely and efficient service delivery.
- Proactively track project deliverables, deadlines, and follow up with relevant stakeholders.
- Maintain a high level of confidentiality in handling sensitive company and client information.
- Generate and present regular reports on administrative matters to aid in decision-making processes.
- Accurately take and maintain minutes and notes during meetings.
- Create, maintain, and update essential documentation and files, ensuring their accuracy and accessibility.
- Coordinate the tracking and receipt of orders and parts, which is a critical aspect of our operations.
- Liaise with various departments to ensure smooth interdepartmental operations.
Essential Qualifications:
- A minimum of 4 years of experience in an office management, operations management, or similar role.
- Strong proficiency with computer systems, office software, and technology.
- Exceptional communication skills, both written and verbal.
- Demonstrated reliability, organizational skills, and meticulous attention to detail.
- Capable of multitasking effectively in a dynamic, fast-paced environment.
