Join our small, community focused organization serving the beautiful Legend Lake area. Legend Lake Property Owners Association serves a vibrant community of property owners, residents, and visitors. We are seeking an organized, friendly, and detail-oriented Office Manager to help manage the day-to-day operations of our office and provide exceptional service to our members. This part-time position offers a variety of responsibilities, flexible daytime hours, and the opportunity to build relationships with members while helping support the Association's daily operations.
This position is ideal for someone who enjoys variety in their workday, takes pride in staying organized, and enjoys helping people. The role combines customer service, office administration, bookkeeping support, records management, and event coordination.
The job hours are part time, at 30 hours per week. Some flexibility is available.
What You'll Do
Member & Customer Service
- Serve as the first point of contact for members, residents, and visitors
- Answer phones, emails, and walk-in inquiries
- Assist new property owners with Association information and resources
- Coordinate lodge rental reservations and facility access
- Issue permits, registrations, stickers, and other member services
Office Administration
- Maintain Association files and records
- Coordinate office schedules and calendars
- Manage building access keys, security codes, and electronic access cards
- Maintain office supplies and inventory
- Support communications, newsletters, and member mailings
Financial & Accounting Support
- Process member payments and bank deposits
- Support bookkeeping activities
- Process invoices, checks, and approved payments
- Support payroll processing and timesheet administration
- Assist with monthly financial reporting
Collections & Compliance
- Track member dues and account status
- Assist with collection efforts on delinquent accounts
- Support annual dues processing and member account updates
Board & Community Support
- Prepare materials for Board meetings
- Coordinate meeting logistics, including Zoom meetings
- Assist with annual meeting preparation and communications
- Support seasonal projects and community events
Qualifications Required
- High school diploma or equivalent
- Strong organizational and administrative skills
- Excellent customer service and communication abilities
- Ability to handle confidential information professionally
- Strong attention to detail and accuracy
- Proficiency with Microsoft Office and email systems
Preferred
- Experience in office administration, customer service, bookkeeping, or a related role preferred
- Experience with QuickBooks or similar accounting software
- Experience working in a community association, nonprofit, municipal office, or customer-service environment
- Experience coordinating multiple priorities and deadlines
- Support seasonal projects and community events
