Vision Behavioral Health Services is seeking a highly organized and motivated Office Coordinator to join our growing team. This position plays a vital role in supporting the day-to-day operations of our ABA and IBHS programs by coordinating administrative tasks, assisting with staff onboarding, managing client documentation, communicating with families and employees, and ensuring compliance with agency and insurance requirements. The ideal candidate is detail-oriented, able to multitask in a fast-paced environment, and possesses excellent communication and problem-solving skills.
This is an in-office position at: 2960 W Germantown Pike, Norristown PA, 19403
Essential Duties and Responsibilities:
- Coordinate daily administrative operations for the clinical team.
- Manage employee onboarding, including collecting required hiring documents and tracking completion of trainings, clearances, and certifications.
- Maintain accurate employee and client records while ensuring confidentiality and HIPAA compliance.
- Assist with scheduling staff, client services, meetings, and trainings.
- Communicate with clients, families, employees, and referral sources regarding scheduling, documentation, and general inquiries.
- Monitor authorizations, assessments, treatment plans, and required documentation to ensure services remain compliant.
- Prepare, organize, and submit paperwork for insurance, credentialing, and internal compliance requirements.
- Track employee credentials, certifications, and renewal deadlines.
- Support recruitment efforts by scheduling interviews and assisting with the hiring process.
- Maintain office supplies, organize files, and assist with general office management.
- Troubleshoot administrative issues and help improve office processes and workflows.
- Assist with special projects and other administrative duties as assigned.
- Additional duties may be added at a later date by the Administrator.
Requirements
- Bachelor’s degree in psychology, social work, social sciences, special education, human services, or related fields.
- Interest in the Mental Health or Behavioral Health field
- Experience working in the Mental Health or Behavioral Health field
- Excellent verbal and written communication skills
- Proficient in Microsoft Office
- Strong organizational skills and flexibility
- Obtain state clearances (FBI, PA Background, Child Abuse, Mandated Reporter, etc.)
Job Types: Full-time (35-40 hours per week)
