Job Summary
U M AIR, INC. is seeking an experienced and highly organized Finance & Business Operations Manager to oversee the day-to-day financial operations of our growing HVAC and mechanical contracting company. This individual will be responsible for managing accounting processes, budgeting, cash flow, accounts payable, accounts receivable, vendor relationships, financial reporting, and the integration of financial systems including ServiceTitan, QuickBooks, and Ramp. The ideal candidate is both analytical and operational, capable of understanding financial reports while also improving processes, maintaining compliance, and supporting leadership in strategic decision-making.
Responsibilities
Financial Management
- Manage daily accounting and financial operations.
- Oversee Accounts Payable (AP) and Accounts Receivable (AR).
- Monitor company cash flow and working capital.
- Prepare weekly, monthly, and quarterly financial reports.
- Review profit and loss statements, balance sheets, and cash flow reports.
- Assist ownership with financial planning and forecasting.
- Develop and maintain department and company budgets
- Analyze financial performance and identify improvement opportunities.
ServiceTitan Administration
- Manage ServiceTitan financial workflows.
- Review batching processes and financial exports.
- Ensure proper synchronization between ServiceTitan and QuickBooks.
- Maintain accurate project costing and revenue tracking
- Verify invoicing accuracy and financial reporting integrity.
QuickBooks Management
- Maintain financial records and chart of accounts.
- Reconcile bank accounts, credit cards, and vendor accounts.
- Assist with month-end and year-end closing procedures.
- Coordinate with external CPA and tax professionals.
Ramp & Expense Management
- Administer Ramp expense management platform.
- Review employee expenditures and company credit card activity.
- Implement expense controls and approval workflows.
- Maintain vendor payment schedules and documentation.
Accounts Payable & Vendor Management-
- Manage vendor onboarding and compliance processes.-
- Review W-9s, insurance certificates, contracts, and vendor documentation.-
- Establish vendor payment schedules and maintain positive vendor relationships.
- Negotiate payment terms where appropriate.
- Ensure vendors are paid accurately and on time.
Compliance & Internal Controls
- Develop and maintain purchasing procedures.
- Establish financial controls and approval processes.
- Support sales tax compliance and reporting requirements.
- Assist with audits and documentation requests.
- Maintain organized financial records and documentation.
Reporting & Leadership Support
- Present financial reports to company leadership.
- Participate in management meetings.
- Provide recommendations for improving profitability and cash flow.
- Create dashboards and KPI reporting.
- Monitor company financial health and identify risks.
Qualifications
- 5+ years of experience in finance, accounting, business operations, or controller-level responsibilities.
- Strong QuickBooks experience.
- Experience managing Accounts Payable and Accounts Receivable.
- Experience creating budgets and financial forecasts.
- Strong understanding of cash flow management.
- Advanced Microsoft Excel skills.
- Experience presenting financial information to leadership teams.
Preferred
- ServiceTitan experience strongly preferred.
- Ramp experience preferred.
- Construction, HVAC, mechanical contracting, or field service industry experience.
- Bachelor's degree in Accounting, Finance, Business Administration, or related field.
- Experience implementing financial processes and operational controls.

Pay: $90,000.00 - $130,000.00 per year
