ROLE SUMMARY
This is not a role for someone who waits to be told what to do. Our principal moves fast across a portfolio of growing businesses. He is a big-picture leader who thrives on strategy, growth, and momentum, and he is at his best when he is freed from administrative drag, scattered follow-ups, and the details that should never reach his desk. The right person for this seat is the behavioral complement to that style — highly organized, steady, and conscientious, with a natural instinct to close loops without being asked. You bring calm and structure to a fast, sometimes chaotic environment, and you take quiet pride in being the person who never lets something slip.
You will anticipate what is needed before you are asked, and you will own follow-through to the last detail. You are warm and people-savvy enough to represent the principal to employees, vendors, and partners, and you have the grit and ownership mentality to chase things down until they are fully done. You do not need hand-holding, you do not let things sit, and you protect the principal’s time fiercely. In short, you create order, you drive tasks to completion, and you free leadership to operate at the highest level.
KEY RESULT AREAS
Executive Support & Calendar Management
- Own and manage the principal’s calendar, scheduling, and travel across multiple companies, protecting and prioritizing his time.
- Coordinate meetings and prepare the principal for what is ahead each day, ensuring he arrives with the right context and materials.
- Manage the inbound flow of email, calls, and requests so that only what truly requires his attention reaches him.
- Anticipate needs and stay a step ahead, handling logistics and details proactively rather than reactively.
HR & Employee Experience
- Run the full onboarding experience for new hires, including setup, paperwork, accounts, swag, and first-day logistics.
- Serve as the organized point person for HR administration, keeping processes consistent and professional across the portfolio.
- Maintain employee records and documentation, ensuring accuracy, confidentiality, and timely completion.
- Plan and execute company town halls and team events end to end, including scheduling, logistics, materials, and vendor coordination.
- Coordinate swag, catering, venues, and travel for events, and manage communications, RSVPs, and follow-up so nothing falls through the cracks.
- Support a positive employee experience by being a reliable, friendly resource for day-to-day questions and needs.
Entity & Compliance Administration
- Manage recurring entity renewals, filings, and registrations across the principal’s businesses, tracking deadlines proactively.
- Own document scanning, organization, and records management so files are accurate, current, and easy to retrieve.
- Monitor compliance dates and obligations, ensuring nothing lapses and removing this recurring load from leadership.
- Coordinate with accounting, legal, and outside vendors as needed to keep entity and compliance matters on track.
Follow-Through & Loop Closing
- Track the principal’s open items and delegated tasks to completion, maintaining a clear running log of status.
- Chase down outstanding deliverables, invoices, approvals, and confirmations on his behalf until they are fully resolved.
- Provide consistent updates on progress and surface roadblocks early, escalating only when truly necessary.
- Operate as the dependable engine of follow-up that ensures commitments turn into completed work.
Personal Assistant Support
- Run personal errands on the principal’s behalf, including pickups, drop-offs, shopping, and other day-to-day tasks.
- Collect and manage mail and packages, ensuring important items are handled and routed promptly.
- Provide flexible, ad hoc personal support to keep the principal’s day running smoothly and free up his time for higher-value work.
SUPERVISION
This role reports directly to the principal. It is an individual-contributor seat with no direct reports, working closely and cross-functionally with leadership, accounting, and operations across the portfolio.
WORKING CONDITIONS
Primarily office-based out of the Newport Beach office, with occasional flexibility as needed. This is a hands-on, in-person role supporting a fast-moving principal and team. Periodic evening or weekend availability may be required around events, travel, and deadlines.

Exceptional Organization & Follow-Through
Proven ability to manage many moving parts at once and drive every one of them to completion. You are the person others rely on to never let something slip, and you bring order to environments that lack it.
Executive Support Experience
Demonstrated experience supporting a senior executive, owner, or principal, including calendar, travel, communications, and confidential administration.
Steady, Conscientious Temperament
You bring calm and structure to a fast, sometimes chaotic environment. You are detail-oriented, dependable, and comfortable creating order where there is none.
Ownership Mentality
You take full ownership of what is on your plate, anticipate needs, and act without waiting to be asked. You chase things down until they are done.
Strong People & Communication Skills
You are warm, professional, and trustworthy, able to represent the principal well to employees, vendors, and partners.
HR, Events & Administrative Capability
Experience with onboarding, event coordination, entity or compliance administration, and general office operations is strongly preferred.
COMPENSATION
Based on experience. The sky is the limit with this position. We are a fast-growing company looking for a long-term individual with an entrepreneurial mindset and the passion to help support and grow our organization. This person will be a key member of our team with the ability and strong desire to bring order, follow-through, and positive momentum across the business. In addition to a base salary, there is future opportunity for incentivized compensation, bonuses, and other arrangements to be discussed.
Pay: $70,000.00 - $90,000.00 per year
