Position Overview
Platinum Masonry is seeking a highly organized, systems-driven Construction Accounting & Systems Coordinator to strengthen and modernize our financial operations.
This role will work closely with our current Accounts Manager during a transition period and will assume increasing responsibility for maintaining, restructuring, and improving our accounting systems. The right candidate will play a critical role in stabilizing and implementing job cost tracking, improving expense management, and ensuring accurate financial reporting in a growing commercial masonry company.
Core Responsibilities
1. QuickBooks Cleanup Assist
- Assist in restructuring and reconciling QuickBooks
- Implement and maintain job cost coding across all active projects
- Ensure expenses are accurately coded by job and cost category
- Perform monthly reconciliations of accounts
- Maintain clean and accurate financial records
2. Accounts Payable
- Review and verify subcontractor invoices
- Track invoice status, payment approvals, and aging reports
- Maintain organized A/P logs by project
- Ensure proper documentation (W-9s, COIs, lien waivers)
3. Credit Card & Expense Management
- Track and code all company credit card transactions
- Ensure receipts are submitted and documented
- Implement structured reimbursement procedures
- Identify discrepancies or irregular spending
4. Accounts Receivable & Billing Support
- Assist in preparation and tracking of pay applications
- Monitor outstanding receivables and aging reports
- Maintain organized billing logs by project
- Support leadership in cash flow tracking
5. Payroll & Financial Documentation Support
- Assist with payroll documentation and reporting
- Track employee reimbursements and subcontractor disbursements
6. Systems Development & Process Improvement
- Develop standardized financial workflows
- Improve internal controls and documentation practices
- Provide leadership with clear monthly financial summaries
- Support long-term financial reporting and forecasting initiatives
Qualifications
- 3+ years of bookkeeping, accounting, or financial administration experience
- Proficiency in QuickBooks (highly preferred)
- Strong Excel skills (required)
- Experience reconciling accounts monthly (required)
- Experience implementing or maintaining job cost tracking (preferred)
- Construction accounting experience strongly preferred
- Strong understanding of A/P, A/R, and expense management
- Comfortable identifying inconsistencies and correcting them
- Bilingual English/Spanish is a plus

Salary commensurate with experience.
