Position Summary
The Office Administrator serves as a key operational support resource for the firm, ensuring day-to-day administrative functions run efficiently and effectively. This role serves as a central point of coordination for office operations, administrative support, executive assistance, and light accounting. The ideal candidate is highly organized, detail-oriented, adaptable, and comfortable managing a variety of responsibilities in a fast-paced environment.
Reception & Office Administration
Answer and route incoming phone calls.
Maintain a professional and organized office environment.
Assist with general administrative tasks and special projects as assigned.
Mail & Document Management
Manage incoming and outgoing mail, packages, and deliveries.
Distribute correspondence and ensure timely handling of important documents.
Light Accounting Support
Assist with invoice processing and expense tracking.
Maintain organized financial records and supporting documentation.
Support accounting and bookkeeping functions as directed.
Executive Support
Assist with management of the Manager Partner's email inbox.
Organize, prioritize, and route communications as appropriate.
Support scheduling, follow-up, and administrative coordination as needed.
Help ensure timely responses to internal and external communications.
Operations Support
Provide backup support for operational and administrative functions.
Assist with maintaining organizational systems, processes, and procedures.
Support cross-functional projects and initiatives.
Help identify and resolve administrative bottlenecks to improve efficiency.
Perform additional duties as assigned to support firm operations.
Qualifications
Associate degree required.
Bachelor's degree preferred.
Strong organizational and time management skills.
Excellent written and verbal communication abilities.
High attention to detail and accuracy.
Ability to handle confidential information with professionalism and discretion.
Proficiency with Microsoft Office, Google Workspace, and other business software.
Ability to prioritize multiple responsibilities and adapt to changing needs.
Positive attitude and willingness to support various departments and functions.
Preferred Attributes
Administrative, office management, or operations experience.
Basic accounting or bookkeeping knowledge.
Experience supporting executives or senior leadership.
Comfortable working independently and taking initiative.
Strong problem-solving and follow-through skills.
Pay: $25.73 - $30.98 per hour
