Position Summary
The Office Manager & Quality Assurance Manager is responsible for overseeing the daily administrative operations of the agency while leading quality assurance and compliance initiatives. This role ensures office efficiency, supports leadership and clinical staff, monitors documentation quality, and promotes continuous improvement throughout the organization.
Primary Responsibilities Office Operations
- Oversee the daily operations of the administrative office.
- Develop and improve office procedures and workflows to maximize efficiency.
- Supervise and support administrative team members.
- Coordinate staff schedules, meetings, and office communications.
- Manage office supplies, equipment, vendors, and facility needs.
- Maintain employee records and administrative documentation.
- Assist leadership with operational projects, reporting, and special initiatives.
- Foster a professional, organized, and welcoming office environment.
Quality Assurance & Compliance
- Conduct routine audits of clinical documentation to ensure accuracy and compliance.
- Monitor adherence to Virginia Medicaid regulations, licensing standards, and company policies.
- Identify documentation trends and areas for improvement.
- Provide coaching and feedback regarding documentation quality and compliance expectations.
- Assist with preparing for internal and external audits.
- Develop and maintain quality assurance reports and tracking systems.
- Collaborate with leadership to implement quality improvement initiatives.
- Help ensure the agency consistently delivers services that meet the highest standards of care.
Qualifications
The ideal candidate will have:
- Previous experience in office management, healthcare administration, behavioral health operations, or quality assurance.
- Strong knowledge of behavioral health documentation and compliance standards (preferred).
- Excellent organizational and time management skills.
- Exceptional attention to detail.
- Strong leadership and communication abilities.
- The ability to manage multiple priorities while maintaining accuracy.
- Proficiency with Microsoft Office and electronic health record (EHR) systems.
- A positive attitude and a collaborative leadership style.

Pay: $22.00 - $25.00 per hour
