We are seeking an organized, detail-oriented, and proactive Operations Manager/Real Estate Assistant to manage administrative tasks, support our team's daily operations, and help lead our growing operations. Position Overview
As a Operations Manager/Real Estate Assistant , you will be responsible for overseeing transaction management, supporting marketing efforts, ensuring smooth office operations, and helping manage daily team workflows. This role will also include supervising a staff of 1-2 virtual assistants, helping maintain accountability, organization, and operational efficiency. You will play a key role in maintaining efficiency and organization within the team while delivering top-tier service to clients and agents.
Key Responsibilities
Transaction Coordination & Client Support
- Manage all real estate transactions from contract to close, ensuring compliance with deadlines and requirements.
- Act as the main point of contact for clients, lenders, attorneys, and agents throughout the transaction process.
- Prepare and submit documents for review, tracking all necessary paperwork and deadlines.
- Assist with listing coordination, including MLS entry, scheduling professional photography, and managing marketing materials.
- Follow up on client feedback and provide outstanding service to enhance the client experience.
Administrative & Office Management
- Maintain and organize electronic and physical files for all transactions and client records.
- Oversee office systems, calendar management, and scheduling to optimize team productivity.
- Ensure all compliance regulations and company standards are met.
- Handle incoming calls, emails, and inquiries professionally and efficiently.
- Assist with managing and mentoring a staff of 1–2 virtual Assistants, helping prioritize daily tasks, maintain accountability, and support team productivity.
Marketing & Social Media Support
- Assist in creating and distributing marketing materials, including flyers, postcards, newsletters, and social media content.
- Maintain an active social media presence to promote listings, open houses, and team branding.
- Organize and coordinate client appreciation events and community outreach efforts.
- Manage the CRM database, ensuring all client and lead information is accurately recorded and updated.
Team Support & Growth
- Support team recruitment efforts by managing job postings and coordinating interviews.
- Monitor team budgets and expenses, ensuring adherence to financial guidelines.
- Coordinate internal team meetings, trainings, and performance tracking reports.
- Help improve and streamline operational processes as the team continues to grow.
Qualifications & Skills
- Experience in real estate, transaction coordination, and/or administrative support preferred.
- Strong organizational skills with the ability to prioritize tasks and meet deadlines in a fast-paced environment.
- Excellent verbal and written communication skills.
- Adaptable with strong problem-solving abilities and intermediate technology skills, with the ability to quickly learn new systems and software.
- Proficiency in Microsoft Office Suite, Google Workspace, and social media platforms.
- Detail-oriented and capable of handling confidential client information with discretion.
- Ability to work independently while also collaborating effectively within a team.
- Previous experience managing or mentoring team members is a plus.
- Experience with Canva, Lone Wolf, Microsoft Excel, KW Command, DocuSign, MLS systems, and CRM platforms is a strong plus.

Pay: $50,000.00 - $65,000.00 per year
