Responsibilities:
- Answer and route incoming calls and greet visitors as the first point of contact for the firm
- Manage calendars and scheduling for five senior team members, including meetings, travel, and appearances
- Prepare, submit, and track lobbyist registrations and renewals across local, state, and federal jurisdictions
- Track and process recurring compliance items, including Florida Bar dues and required lobbyist training deadlines
- Submit and monitor recurring public records requests and organize the responses
- Monitor city, county, and agency meeting agendas and flag items relevant to the firm and its clients
- Keep the trackers and tools used for this role current, using AI and other office software to stay ahead of registrations, deadlines, records requests, and agendas
- Order office supplies, manage office vendors, and handle day-to-day administrative tasks
Qualifications
- Exceptionally organized, with a track record of keeping calendars, files, and deadlines on track without reminders
- Two or more years of administrative, office coordination, or related experience; experience in government, legal, or professional services is a plus but not required
- Comfortable with the tools we use every day, including Microsoft Office (Word, Excel, and PowerPoint), Adobe Acrobat and Adobe Sign, Zoom, and Google Workspace (Gmail, Calendar, Docs, Sheets, and Drive), and quick to pick up new ones, including our Verve phone system
- Comfortable using AI in daily work (interest in improving how routine tasks get done is not required but a benefit)
- Clear, professional phone and written communication
- Discretion in handling confidential client and firm information
- Reliable, in-office availability five days a week
- Spanish is not required but a plus
Pay: $50,000.00 - $58,000.00 per year
