We are seeking an experienced, detail-oriented Senior Construction Administrative Assistant to join our Raleigh office. In this role, you will serve as the operational backbone of our project teams, supporting Project Managers, Estimators, and Field Superintendents. The ideal candidate has a strong background in the commercial construction industry (subcontractor experience preferred), understands trade workflows, and thrives on keeping projects organized from bidding through closeout.
Key Responsibilities
- Project Documentation: Set up, organize, and maintain electronic and physical project files. Manage the distribution of submittals, RFIs, change orders, and operation & maintenance (O&M) manuals.
- Financial Coordination: Assist with the preparation of AIA monthly progress billings, track vendor invoices, process purchase orders, and coordinate lien waivers with our accounting team.
- Permitting & Licensing: Coordinate with local Triangle municipalities to secure electrical and building permits, schedule inspections, and ensure job site compliance.
- Vendor & Subcontractor Relations: Act as a primary point of contact for material suppliers and subcontractors. Maintain updated certificates of insurance (COIs) and safety logs.
- Office Administration: Manage incoming calls, executive scheduling, and office supplies.
Required Qualifications
- Experience: Minimum of 3–5 years of administrative experience specifically within the commercial construction, engineering, or trade contracting industries.
- Software Proficiency: Hands-on experience with construction project management platforms (e.g., Procore, Bluebeam, Autodesk Construction Cloud) and advanced knowledge of Microsoft Office Suite (Word, Excel, Outlook).
- Industry Knowledge: Solid understanding of commercial construction processes, trade terminology, and standard billing procedures (AIA G702/G703).
- Skills: Exceptional organizational skills, sharp attention to detail, strong written and verbal communication, and the ability to multitask in a deadline-driven environment.
Preferred Qualifications
- Experience specifically working with a commercial electrical subcontractor.
- Familiarity with local Raleigh-Durham building codes, inspection workflows, and utility provider coordination (e.g., Duke Energy).
- Notary Public certification in North Carolina (or willingness to obtain).
Pay: $25.80 - $35.00 per hour
