Overview:
McGuireWoods Consulting (MWC) is seeking an Administrative Assistant located in our Richmond office. This role provides comprehensive administrative support to a team of timekeepers, including managing schedules, coordinating meetings, booking travel, processing expenses, and performing time entry on both the legal and consulting sides of the business. The ideal candidate will possess a high attention to detail, excellent organizational and multi-tasking skills, and the confidence to communicate directly with timekeepers to ensure deadlines are met and billing is completed on time. A proactive mindset and the ability to quickly adapt to each timekeeper's individual work style are essential for success in this position. This role requires the candidate to work in our office five days a week, offering a dynamic and collaborative work environment.

Responsibilities:
- Support timekeepers with scheduling, calendaring, and meeting coordination

Follow up with timekeepers to ensure timely billing

Perform time entry on both legal and consulting sides

Highly organized, detail-oriented, proactive, and able to prioritize across multiple tasks

Book travel, conference registration, and arrange appointments

Process expense-related items (invoices, reimbursements, check requests) using Chrome River

Draft correspondence and documents in proper format; manage incoming/outgoing mail and secure document retention

Perform research and general administrative duties (copying, scanning, faxing) as requested

Assist with office functions, events, and support other staff as needed
Qualifications:
- Bachelor's degree preferred and a minimum of two years of administrative experience; or equivalent combination of education and experience

Ability to work independently and as part of a team

Ability to think clearly, react positively, and evaluate situations to determine appropriate action under pressure

Able to quickly learn new methods and technologies

Proficient in Excel, Word, PowerPoint, and Canva

Excellent communication, proofreading, and editing skills

Strong planning and organizational skills

Ability to handle multiple tasks simultaneously

Interest in using innovative AI technology, including Harvey and Copilot, to support efficient, high-impact work.
