HVAC Service Associates is a trusted commercial HVAC service company that has proudly served businesses throughout NYC & New Jersey for more than 30 years. We are looking for a highly organized, detail-oriented Assistant Service Coordinator to join our growing team in Middletown, NJ.
This position plays a key role in supporting our service department by coordinating technicians, managing administrative tasks, and helping ensure exceptional customer service.
Responsibilities
- Schedule and coordinate daily service calls for HVAC technicians
- Communicate with customers regarding service appointments and scheduling updates
- Enter bills, vendor invoices, and service-related documentation into the company management system
- Assist with managing commercial service contracts, including renewals and tracking contract requirements
- Maintain accurate customer and service records
- Coordinate with technicians to ensure work orders are completed and documented properly
- Support the Service Manager with day-to-day administrative tasks
- Answer incoming phone calls and provide professional customer service
- Help prioritize emergency service requests and adjust schedules as needed
Qualifications
- 3+ years of experience in an administrative, service coordination, dispatch, or office support role
- Strong organizational and time management skills
- Excellent verbal and written communication skills
- Proficiency with Microsoft Office (Outlook, Excel, and Word)
- Experience with accounting, invoicing, or service management software is preferred
- Ability to multitask in a fast-paced environment
- Detail-oriented with strong problem-solving skills
- Experience in the HVAC, mechanical contracting, construction, or service industry is a plus, but not required
