Position Overview
The Onboarding Specialist is responsible for delivering seamless and engaging onboarding experience for all new employees across the organization. This role serves as the primary point of contact between candidates, hiring managers, Human Resources, IT, Facilities, and business leaders to ensure employees are prepared, welcomed, and equipped for success from day one.
The Onboarding Specialist will manage pre-employment processes, coordinate new hire orientation, facilitate onboarding activities, and monitor employee integration.
Key Responsibilities
- Manage the onboarding process after offer - acceptance through successful integration into the organization.
- Coordinate pre-employment activities, including background checks, drug screenings, employment verification, and onboarding documentation.
- Ensure completion and compliance of all new hire paperwork and employment records.
- Ensure compliance with federal, state, and company employment requirements.
- Serve as the primary point of contact for new employees prior to and during onboarding.
- Facilitate new hire orientation programs and company introductions.
- Coordinate first-day schedules, workspace preparation, equipment setup, and system access with internal stakeholders.
- · Introduce new hires to company culture, policies, procedures, and organizational structure.
- Partner with managers to ensure department-specific onboarding plans are completed.
- Identify opportunities to improve onboarding processes, tools, and employee experiences.
- Partner with Talent Acquisition, HR, Payroll, IT, Facilities, and hiring managers to ensure a seamless onboarding process.
- Coordinate onboarding logistics across multiple departments and business units.
- Support special projects related to employee experience
- Assist with employee recognition programs, welcome events, and company engagement initiatives.
- Support employee retention efforts by ensuring a positive onboarding experience.
- Maintain onboarding metrics and reporting, including time-to-productivity, onboarding completion rates, and new hire satisfaction.
- Develop and maintain onboarding materials, presentations, guides, and resources.
Required
- Bachelor's degree in Human Resources, Business Administration, Communications, or related field; equivalent experience may be considered.
- 2+ years of experience in onboarding, human resources, employee experience, talent acquisition coordination, or related functions.
- Strong organizational and project management skills.
- Excellent verbal and written communication skills.
- Proficiency with HRIS, ATS, and Microsoft Office applications.
- Ability to manage multiple priorities in a fast-paced environment.
Preferred
- Experience supporting onboarding within manufacturing, energy, industrial, engineering, or technical environments.
- Experience with ADP or similar HR systems.
- Knowledge of employment documentation and compliance requirements.

The Onboarding Specialist is expected to perform all duties with a strong commitment to safety, ensuring the well-being of themselves, coworkers, customers, and third parties always.
The role requires flexibility to work extended hours as needed.
This position operates in a professional office environment and may require on rare occasions visits to manufacturing, warehouse, or operational facilities. Work schedules may vary based on business needs and onboarding requirements.
