Overview
Our firm is currently seeking a full-time highly organized and detail-oriented Administrative Assistant to join our collaborative team. The ideal candidate will play a key role in ensuring smooth office operations, providing exceptional client service, and supporting the firm with various administrative tasks. This position requires proficiency in data entry, strong communication skills, and the ability to manage multiple priorities effectively.
Job Duties (The job responsibilities include but are not limited to the following):
- Answering telephone calls, emails, and greeting office guests in a friendly and professional manner
- Handling incoming and outgoing mail/deliveries including opening, sorting, and routing mail to the appropriate person
- Assisting with scheduling client appointments as needed
- Assisting with new client intake
- Coordinating workstation setup for new employees
- Drafting and sending correspondence to clients, including engagement letters, tax organizers, Power of Attorney forms, and copies of returns as needed
- Filing electronic workpapers and scanning paper client documents to our electronic binder system
- Preparing client invoices, weekly deposits, and recording payments received in accounts receivable system
- Functioning as vendor and office building liaison
- Facilitating bill pay for approved bills
- Maintaining and ordering office supplies as needed
- Compiling returns electronically for secure delivery to clients, and paper returns as required by taxing authorities, or as requested by clients for their records
- Electronic filing of tax returns using CCH Axcess and processing paper tax return files when requested
- Assist with monitoring workflow and due dates using CCH Workstream project management system

Qualifications:
- High school diploma or equivalent
- Previous CPA/tax firm experience is preferred
- Excellent attention to detail and self-review
- Strong organizational skills
- Excellent client service skills
- Strong written and verbal communication and interpersonal skills.
- Able to work effectively both as part of a team and independently in a high-paced environment.
- Ability to work under pressure of tax deadlines and maintain a positive attitude
- Able to handle multiple priorities, tasks and simultaneous projects
- Flexible attitude and ability to deal well with changing assignments and priorities
- Able to work overtime as needed during tax season
- Discretion and professionalism with sensitive client data
- Proficient with Microsoft Office Suite (Word, Excel, Outlook)
- Familiarity with CCH Axcess tax software is a plus.
- Current authorization to work in the US
