Position Summary
The Director of Administration is responsible for leading the administrative operations of Star Protection & Patrol. This executive-level position oversees Human Resources, recruiting, employee onboarding, compliance, payroll administration, employee records, office operations, policies, and administrative staff while ensuring the organization operates efficiently and professionally.
The Director of Administration serves as the administrative backbone of the company, ensuring employees have the support, resources, and processes needed to deliver exceptional service. This role partners closely with the Director of Operations and executive leadership to build a culture of accountability, professionalism, and continuous improvement.
Essential Duties and Responsibilities
Human Resources
- Lead all Human Resources functions for the organization.
- Oversee recruiting, interviewing, hiring, onboarding, and orientation of new employees.
- Manage employee relations and assist with conflict resolution.
- Coordinate employee performance evaluations and disciplinary documentation.
- Maintain confidential personnel files and employment records.
- Promote employee engagement and retention initiatives.
Recruiting & Hiring
- Develop and execute recruiting strategies for all departments.
- Build relationships with schools, military organizations, and community partners to attract qualified candidates.
- Coordinate hiring events and career fairs.
- Ensure staffing levels support company growth.
- Maintain applicant records and hiring documentation.
Administrative Operations
- Direct the day-to-day operations of the administrative department.
- Supervise administrative personnel and office support staff.
- Establish efficient office procedures and administrative workflows.
- Ensure company documentation is complete, accurate, and organized.
- Coordinate administrative support for all departments.
Payroll & Employee Benefits
- Coordinate payroll preparation and timekeeping accuracy.
- Maintain PTO and leave records.
- Assist employees with benefits enrollment and administration.
- Ensure compliance with wage and hour regulations.
- Work closely with accounting regarding payroll and administrative reporting.
Compliance & Licensing
- Ensure compliance with federal, state, and local employment regulations.
- Maintain employee licenses, certifications, and required training records.
- Monitor renewal deadlines and regulatory requirements.
- Coordinate internal audits and compliance reviews.
- Maintain insurance records and required company documentation.
Policies & Procedures
- Develop, implement, and maintain company policies and Standard Operating Procedures.
- Recommend improvements that increase efficiency and accountability.
- Ensure policies are communicated and consistently enforced throughout the organization.
Fleet & Asset Administration
- Maintain records for company vehicles and equipment.
- Coordinate fleet documentation, registrations, and insurance records.
- Track uniforms, equipment assignments, and administrative assets.
- Assist with inventory management and purchasing.
Vendor & Contract Administration
- Manage relationships with administrative vendors and service providers.
- Coordinate office purchasing and supply management.
- Maintain administrative contracts and service agreements.
- Assist executive leadership with contract administration.
Financial & Administrative Support
- Assist with annual budgeting and administrative expense tracking.
- Review invoices and administrative expenditures.
- Coordinate purchasing approvals.
- Support accounting with documentation and reporting requirements.
Leadership
- Recruit, mentor, and develop administrative employees.
- Foster a culture of professionalism, accountability, and teamwork.
- Establish department goals and performance expectations.
- Support company initiatives and strategic planning.
- Serve as a trusted advisor to executive leadership.
Qualifications
Required
- Minimum of five (5) years of progressive leadership or management experience.
- Minimum of three (3) years managing administrative operations, Human Resources, or office management.
- Strong knowledge of employment practices and administrative procedures.
- Excellent written, verbal, and interpersonal communication skills.
- Exceptional organizational and time management abilities.
- High level of integrity, discretion, and professionalism.
- Ability to prioritize multiple projects in a fast-paced environment.
- Proficiency with Microsoft Office 365 and general business software.
Preferred
- Bachelor’s degree in Business Administration, Human Resources, Public Administration, Management, or a related field.
- Experience in the private security, public safety, or service industry.
- Experience leading multi-location administrative operations.
- Knowledge of payroll administration, benefits administration, and regulatory compliance.
