Job Summary
We are seeking a bilingual Office Assistant to join our team! In this vital role, you will serve as the first point of contact for visitors and patients, manage daily administrative tasks, and support office operations with enthusiasm and professionalism. Duties
- Answer multi-line phone systems promptly, directing calls accurately and courteously
- Support office staff with daily administrative duties, including filing, scanning, faxing
- Manage front desk responsibilities, including handling incoming and outgoing mail and deliveries
- Maintain organized filing systems, both digital and physical, ensuring confidentiality of sensitive information
- Handle clerical tasks such as proofreading documents, preparing reports, and managing office supplies
- Manage daily HR activities by ensuring all licenses and records are up to date, including DL, 90-day/annual evaluations
- Facilitate the hiring process to include: recruitment, initial applicant screening, interviewing, reference checks, administering required examination(s), license verification
- Conduct and send OIG, background checks, Employment Verifications, TX New Hire Reporting, and other state documents
- Updating Vesta system for field employees and new hires
Skills
- Bilingual proficiency in [SPANISH], with excellent verbal and written communication skills in both languages
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with data entry processes
- Experience with office management tasks, including filing, organization, and administrative support
- Exceptional organizational skills with the ability to prioritize tasks effectively in a fast-paced environment
- Excellent phone etiquette and customer service skills to handle inquiries professionally
- Ability to handle confidential information discreetly and responsibly
- Previous clerical or administrative experience in an office setting is preferred but not required
- Time management skills to juggle multiple responsibilities efficiently
- Personal assistant experience or previous roles involving calendar management are advantageous
