ReThink Mental Health and Wellness is thriving, and we are looking for a front office medical assistant! We are excited in our search to find a a positive, dynamic and detail-oriented Medical Assistant Receptionist to join our healthcare team.
We are an outpatient interventional and integrative psychiatry practice that specializes in treating First Responders, Military, Veterans, Frontline Medical Personnel and their families. In this vital role, you will serve as the first point of contact for patients, providing exceptional customer service while managing a wide range of administrative duties. Your energetic approach will help create a welcoming environment, ensuring smooth clinic operations and accurate documentation.
You will also have exciting opportunities to be cross-trained and participate in assisting our patients with rapid transcranial magnetic stimulation (rTMS) treatments, Spravato esketamine treatments, and additional training opportunities as they come available. We take care of our staff, help them grow with crosstraining and education opportunities. We believe everyone has a gift and potential, and we want to help you grow!

Responsibilities
- Greet patients warmly and assist with check-in and check-out procedures using various EMR (electronic medical record) and other digital tools.
- Verify insurance coverage, perform insurance eligibility checks, and process payments or co-pays efficiently.
- Schedule patient appointments accurately utilizing medical scheduling software and coordinate follow-up visits as needed.
- Manage multi-line phone systems with professional phone etiquette, directing calls appropriately and taking detailed messages.
- Review and update medical records, ensuring all documentation complies with HIPAA regulations and is accurately entered into the system.
- Assist with insurance verification, prior authorizations, collecting payments and copays
- Support clinic operations by filing documents, managing patient files, and maintaining organized office records.
- Collaborate with Office Manger and medical staff to facilitate smooth patient flow and ensure timely care plans are communicated effectively.

Qaulifications
- 1 Year Medical Receptionist Experience Required
- Certified Medical Assistant Required
- Extensive experience with EMR (Electronic Medical Records) systems, AdvancedMD EMR knowledge helpful, but not required
- Strong knowledge of medical terminology, CPT coding (Current Procedural Terminology), ICD-9/10 coding (International Classification of Diseases), and medical billing procedures.
- Familiarity with HIPAA compliance standards to safeguard patient information.
- Proven ability in insurance verification, Medicare processing, and understanding of health information management practices.
- Excellent customer service skills combined with professional phone etiquette and effective communication abilities.
- Proficiency in Microsoft Office applications including Word and Excel; typing speed of at least 10-key for efficient data entry.
- Bilingual capabilities are highly valued to serve diverse patient populations effectively but not required.
- Strong organizational skills for managing multiple tasks such as filing, documentation review, appointment scheduling, and office management duties.
- Superior, articulate phone etiquette and interpersonal skills

- Must be highly motivated, team player, and able to work independently with minimal supervision.
- Critical, independent Thinking Skills Required
- Bachelor’s Degree preferred, but not required
- At least 1-year medical receptionist experience required.
- References required; must submit with resume.
