Administrative Assistant / Operations Coordinator
Location: Chicago, IL (People's Gas – North Location)
Duration: 12-Month Contract
Pay: $27.00-$29.00/hour
About the Opportunity
We're seeking a highly organized Administrative Assistant to support a busy field operations team for one of the nation's leading utility companies. This is much more than a traditional administrative role—you'll play a key part in keeping daily operations running smoothly by coordinating schedules, tracking employee resources, supporting supervisors, and ensuring critical operational information remains accurate.

What You'll Do
- Process and reconcile daily employee time entries.
- Maintain and update electronic timekeeping records.
- Assist with last-minute scheduling and dispatch changes due to absences, emergencies, or workload adjustments.
- Coordinate work assignments and resource availability.
- Track employee attendance and maintain absence records.
- Update workforce scheduling and resource planning systems.
- Monitor company vehicle locations and maintenance status.
- Assist supervisors with tracking tools, equipment, and mobile devices.
- Coordinate training sessions and administrative activities.
- Maintain accurate records and communicate effectively with field employees and leadership.
What We're Looking For
- 2+ years of administrative, operations, scheduling, dispatch, or office coordination experience.
- Strong organizational and multitasking skills.
- Excellent communication and customer service abilities.
- Experience supporting multiple employees or departments in a fast-paced environment.
- Strong Microsoft Office skills, especially Outlook and Excel.
- Comfortable learning new software and internal systems.
- High attention to detail with excellent data entry accuracy.
