Operate phone system using desktop and mobile applications and route calls appropriately, manage fax inbox & forward faxes accordingly, greet & welcome visitors and assure they are directed appropriately, and maintain reception area that is presentable to public
Schedule calls/meetings, checking calendars, email communications, printing materials, and/or assembling folders
Review submitted travel reimbursement forms & accompanying documentation (signed Intent to Incur forms, maps, receipts), communicate via email, with staff regarding missing items or errors, & submit for 2nd review
Prepare minutes for the Executive Committee & Board of Director’s meetings and the Network CQI Committee meetings.
Prepare New Hire (NH) folders, packets, and orientation schedules as needed
Order office supplies, yearly calendars/diaries for staff, and printer supplies (toner, toner waste boxes, staples) as needed; manage supply cabinets and supplies stored in the admin office
Post meeting notifications/events to the CFBHN website calendar
Prepare travel reimbursement forms for Chief Operating Officer & Vice President of Behavioral Health Services
Send reminders to Network Provides about the Deaf and Hard of Hearing (DHOH) reporting due monthly. Track to ensure all providers have submitted/uploaded their information
Open, stamp, sort, and deliver mail; apply postage to outgoing mail & packages, process certified mail
Process Enterprise vehicle rentals for staff
Manage/update CFBHN Contact database & CFBHN Contact Management list, create or edit email distribution lists, & manage/update master CFBHN (USPS) mailing lists
Coordinate travel for staff
Update Temporary Assistance for Needy Families (TANF) Authorized Staff and Services spreadsheet with newly received TANF Staff Authorization Certification forms (via Fax or Email); rename & save Certification forms on TANF drive
High school diploma/GED with a minimum of three years providing administrative support functions or in lieu of diploma/GED a minimum of seven years providing administrative support functions.
Exceptional skills in administrative support functions
Ability to implement administrative procedures to interpret rules, regulations, policies, and procedures
Strong ability to welcome and greet the public
Proficiency of software applications including Word, Excel, PowerPoint, Publisher, OneDrive, SharePoint, MS Teams, and Outlook
Excellent keyboarding skills
Ability to manage multiple tasks and prioritize meeting deadlines
Knowledge of Microsoft Office suite, as applicable to the position
Ability to travel as required by the position
