Service Manager Assistant / Accounts Collections Assistant
Advanced Maintenance is looking to hire a dependable and organized assistant to support our High Point Service Manager with daily shop operations, customer communication, paperwork, scheduling, and account collections.
This position is best suited for someone who is professional, self-motivated, detail-oriented, and able to work in a fast-paced service environment. The assistant will help ensure that customers are taken care of, invoices and paperwork are completed properly, payments are followed up on, and the Service Manager has the support needed to keep the shop running smoothly.
Primary Responsibilities:
- Answer customer phone calls and assist with scheduling service work.
- Help create invoices, estimates, and service paperwork.
- Assist with dispatching technicians and updating the schedule as needed.
- Follow up with customers regarding open invoices and account balances.
- Help collect payments from customers and ensure payment information is handled properly.
- Process and organize receipts, payment records, and completed invoices.
- Assist with fleet reports, customer follow-ups, and service reminders.
- Communicate with customers in a professional and respectful manner.
- Help keep the office, paperwork, and daily workflow organized.
- Support the Service Manager with other administrative and shop-related tasks as needed.
Qualifications:
- Strong communication and customer service skills.
- Good organization and attention to detail.
- Ability to follow directions and complete tasks in a timely manner.
- Comfortable making phone calls and following up with customers.
- Basic computer and office skills.
- Prior experience with invoicing, collections, service writing, or office administration is preferred but not required.
- Must be reliable, professional, and willing to learn.
This position plays an important role in supporting the Service Manager, helping customers, and making sure accounts and paperwork are handled correctly. We are looking for someone who takes pride in their work and wants to be part of a team-focused shop environment.
Pay: From $15.00 per hour
