We are seeking an energetic and dedicated Customer Service Professional to join our dynamic team! Responsibilities
- Serve as the primary point of contact for visitors, customers, and carriers by managing the front desk, lobby, conference rooms, phone calls, emails, gate access, and visitor sign-in procedures.
- Provide exceptional customer service by responding to customer inquiries via phone and email in a timely, professional, and customer-focused manner.
- Manage customer purchase orders (POs), including acknowledgment, processing, tracking, maintaining PO logs, updating records, and coordinating with the Michigan office to ensure order accuracy and completion.
- Create, update, and maintain accurate sales orders, Bills of Lading (BOLs), shipping instructions, and related documentation to support production planning and on-time order fulfillment.
- Coordinate closely with Production, Shipping, Plant Management, and customers regarding order status, schedule changes, backorders, shipment priorities, and delivery delays.
- Monitor open orders and shipment schedules, maintain due-date tracking reports, and proactively communicate potential delays to ensure on-time delivery performance.
- Verify shipment accuracy by reviewing quantities, item numbers, lot information, COAs, shipping documentation, and outbound orders prior to shipment, while communicating any discrepancies to appropriate departments.
- Coordinate transportation and shipping activities, including carrier arrangements, FedEx and small-package shipments, shipping labels, pallet tags, pickup requests, shipment tracking, and delivery confirmation.
- Maintain shipping logs, master data files, inventory reports, and other operational records to ensure accurate and up-to-date information across departments.
- Support Quality Control, customer audits, inspections, and site visits by assisting with labeling, packaging, samples, documentation, and other administrative activities.
- Manage incoming and outgoing mail and provide general administrative support to plant operations.
- Perform additional duties, cross-train to assist other departments and special projects as assigned by management.
Qualifications
- Proven experience in customer support or call center environments is preferred; familiarity with phone communication is essential
- Strong organizational skills with attention to detail in data entry and record keeping
- Proficiency in Microsoft Office applications such as Word and Excel; technical proficiency in other computer tools is a plus
- Excellent written and verbal communication skills in English; bilingual skills are an advantage for engaging a broader audience
- Demonstrated problem-solving abilities in customer service scenarios; ability to handle challenging situations professionally
- Ability to maintain professionalism and adhere to phone etiquette standards during all interactions
Pay: $19.00 - $21.00 per hour
