Job Overview
We are seeking a highly organized and detail-oriented Vascular Surgery Procedure Scheduler and authorization specialist to join our healthcare team. The ideal candidate will be responsible for coordinating surgical appointments, managing patient records, and ensuring seamless communication between patients, physicians, and surgical teams. This role requires proficiency in various Electronic Health Record (EHR) systems and a solid understanding of medical terminology, coding, and insurance verification processes. The Surgery Scheduler plays a vital role in maintaining efficient clinic operations and delivering exceptional patient service.
The successful candidate will be knowledgeable, dependable, proactive, organized, and comfortable working directly with physicians, clinical staff, insurance companies, facilities, and patients.
Responsibilities
- Schedule surgical procedures accurately within the EMR system Athenahealth.
- Verify insurance coverage and perform insurance verification to ensure patient eligibility.
- Review and update patient medical records, documentation, and care plans to ensure completeness and compliance with HIPAA regulations.
- Coordinate with physicians, surgical teams, and patients to confirm appointment details and prepare necessary documentation.
- Manage multi-line phone systems with professional phone etiquette to handle patient inquiries and appointment requests.
- Maintain accurate medical billing codes including CPT, ICD-9, ICD-10 coding for vascular and general procedures and diagnoses.
- Assist with medical collection processes and ensure proper documentation review for billing accuracy.
- Utilize computer skills including Microsoft Office for scheduling reports, data entry, and correspondence.
- Ensure compliance with health information management standards and HIPAA privacy regulations.
- Perform other administrative duties such as filing, data entry, and supporting office management tasks related to the medical practice.
Qualifications
- Proven experience in medical scheduling within a clinical or hospital setting; vascular surgery scheduling is required.
- Familiarity with EMR/EHR systems.
- Knowledge of medical terminology, CPT coding, ICD coding (ICD-9 & ICD-10), insurance verification processes, and Medicare guidelines.
- Strong computer skills including proficiency in Microsoft Office Suite (Word, Excel) and typing accuracy (10 key typing preferred).
- Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment.
- Exceptional communication skills with professional phone etiquette; bilingual abilities are advantageous.
- Knowledge of health information management standards and familiarity with hospital or clinic operations is desirable.
