DATA AND COMPLIANCE COORDINATOR

Job Summary:
The YWCA Data and Compliance Coordinator reports directly to the reports directly to the Director of Operations (or the Executive Director in the absence of the Director of Operations.) This position is responsible for day-to-day oversight of billing and electronic medical record compliance and works closely with the billing partner. This position ensures that staff are trained on the electronic health records software to assure that client data is protected, records are stored and retained correctly and that only provider staff are allowed access to client records. This position also provides analytical data to the program leadership and others for use in grant writing and required reports for public and private grants as well as licensing reviews.
Job Duties:
Data Analysis, Compliance Coordination & Billing
· Provide data analysis and reports to YWCA Helena’s Director of Operations, or Executive Director, or leadership team, including reporting of:
o Key Performance and Compliance Indicators and revenue trends as needed for grant and funding requirements, program initiatives, public engagements and the YWCA mission and strategic goals.
o Includes data analysis and performance monitoring reports related to trends such as volume of clinical hours of client services, number of clients served, length of stay and other data regarding trends that impact service delivery and acquisition for our clients.
· Modify data sets to meet organization’s needs to create reports, template development, etc. as necessary.
· Collaborate directly with the YWCA billing partner to ensure accuracy in billing submissions for therapeutic services which also includes converting YWCA provider documentation and billing data into our billing partner’s EHR system, tracking billing submission details and corresponding revenue.
· Maintain a thorough understanding of the electronic health record system, billing mechanisms & processes, revenue tracking, and compliance indicators for confidentiality and protection of client records.
· Maintain a thorough understanding of annual provider enrollment requirements.
o Includes maintaining a record of up-to-date provider licenses for compliance with YWCA billing partner’s needs.
· Follow Standard Operating Procedures for Electronic Healthcare Records use to maintain and routinely review patient charts.
o Includes monitoring EHR records for completeness and timely and adequate documentation by providers in compliance with regulations and grant requirements.
o Also includes tracking timelines for clinical assessments, treatment plan reviews and other required clinical documentation and reminders to providers, as necessary.
· Manage the EHR (Electronic Health Record) system to ensure templates and documents are created and sustained to comply with regulations. This includes extracting and compiling data for reporting on Key Performance Indicators.
· Onboard new providers, in collaboration with the Clinical Director, into the EHR system.
· Provide ongoing technical support to providers related to using the electronic medical record.
· Routinely confirm client benefits and eligibility with Montana Medicaid.
· Maintain a thorough understanding of requirements of various public and private grant-related data sets.
· Modify data sets to meet organization’s needs for creating reports, template development, etc. as necessary.
Other Job Requirements:
General Management
· Complete reports related to data management and performance monitoring for quality assurance, and public and private grant reporting.
· Monitor that client documents are complete and up to date to meet program licensing requirements
· Analyze clinical hours of services for clients and providers and report data to program leadership
· Be able to firmly commit to and work to achieve the mission of YWCA Helena.
· Be able to work at a desk with a computer for long periods and lift 25 pounds.
· Demonstrated professionalism, integrity, and ethical behavior regarding confidentiality as well as in matters concerning coworkers.

Tuberculosis (TB) screening and CPR/First Aid certification are requirements for this position. The selected candidate will demonstrate sensitivity to the cultural and socioeconomic differences present among YWCA Helena’s staff, clients, and board. YWCA is an equal opportunity employer.
