!! REQUIREMENT: Prior Home Care Experience as a Caregiver Required Applicants must have direct, hands-on experience working as a caregiver in a home care setting. This experience is essential to this role and applicants without it will not be considered.

Home Matters Caregiving is a caregiver-focused, non-medical home care agency serving seniors and adults across Austin and the surrounding Central Texas communities. We are growing in the Austin market and are building an office team that can keep pace with our growth while maintaining the high standard of care our clients expect.
ABOUT THE ROLE
We are looking for a dependable, organized, and people-focused Scheduling & Staffing Coordinator to join our Austin team. This is a high-responsibility, fast-paced role at the heart of our daily operations. You will manage caregiver and client schedules, handle incoming calls, coordinate staffing, support billing, and make sure every shift is covered and every client is cared for. WHAT YOU WILL DO
Scheduling & Staffing
- Manage all caregiver and client schedules for HMC Austin clients using SmartCare
- Update caregiver schedules in real time and resolve open shifts promptly
- Manage overtime by limiting it to emergency situations; all overtime requires pre-approval
- Be available to fill a caregiver shift in the event of a no-show when a replacement cannot be found
- Participate in the monthly on-call rotation
Client & Caregiver Coordination
- Schedule introductions for new hires and new clients for all first shifts via SmartCare and notify the manager
- Schedule follow-up calls for new hires to the Retention Manager and new clients to the Administrator
- Conduct one client/caregiver in-home visit per week for scheduling needs and match assessment
- Manage Lyft/Uber orders and client billing for transportation
Office Operations
- Answer phones in a friendly, professional manner at all times
- Refer urgent client or staff issues to the responsible manager for follow-up
- Maintain sufficient supply of Daily Care Notes (up to 100 on hand) and new client binders (5 on hand)
- Manage LTC billing and paperwork
- Lead the weekly staffing call every Tuesday at 1:00 PM and send out minutes to the team
- Send a daily summary (per template) by 4:45 PM each day
- Update the Caregiver List (Google Doc) every Friday by 5:00 PM
- Lock up the office and training center at the end of the day
WHO YOU ARE
- Prior home care experience as a caregiver — required, no exceptions
- Confident and calm communicator on the phone — you put people at ease even in stressful situations
- Skilled at multi-tasking and problem-solving under strict deadlines
- Proficient in basic computer software programs
- Must have your own smartphone
- Professional and empathetic in every interaction with clients, families, and staff
- Able to pass required pre-employment assessments and criminal background check
