Duties
- Greet visitors, clients, and vendors with professionalism and courtesy, ensuring a positive first impression.
- Manage multi-line phone systems, screen calls, and direct inquiries efficiently using excellent phone etiquette.
- Handle data entry tasks accurately using spreadsheets, Microsoft Office suite, Google Workspace, and other productivity software.
- Maintain organized filing systems—both electronic and paper—to ensure quick retrieval of documents.
- Schedule appointments and manage calendars for staff members or departments with precision.
- Assist with office management duties such as ordering supplies, coordinating mail services, and overseeing general administrative functions.
- Provide exceptional customer support by addressing inquiries promptly and professionally, fostering strong client communication.
Qualifications
- Proven experience in office management or administrative roles with a focus on front desk or reception duties.
- Strong computer literacy including proficiency in Microsoft Office (Word, Excel), Google Workspace, data entry, and bookkeeping software such as QuickBooks.
- Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment.
- Exceptional communication skills and a professional phone manner.
- Experience with multi-line phone systems, clerical tasks, filing systems, and calendar management.
- Demonstrated ability to handle customer service interactions with patience and professionalism.
- Technical proficiency in office equipment and productivity software
