About Us
Pro Installation Design & Build is a veteran- and family-owned insurance restoration company specializing in roofing, siding, and exterior restoration. We are a preferred contractor for 33 insurance companies and work directly with homeowners and carriers to restore properties after storm damage.
We are growing fast and looking for a reliable, organized, detail-oriented Office Manager to help keep our operations running smoothly.
Position Overview
The Office Manager is the backbone of our daily operations. This role is responsible for managing administrative tasks, supporting sales and production teams, handling financial entries, and maintaining strong communication with customers and internal staff.
This is an in-office position requiring strong multitasking skills, professionalism, and comfort working in a fast-paced environment.
Key Responsibilities
Accounting & Financial Admin
- Enter and manage transactions in QuickBooks
- Process invoicing, payments, and job costing
- Assist with payroll processing
- Maintain accurate financial and administrative records
Administrative & Office Operations
- Data entry and document management
- Organize job files, contracts, and insurance paperwork
- Assist with internal reporting and tracking
- Support ownership with general administrative tasks
Lead & Sales Support
- Manage incoming leads and update CRM/spreadsheets
- Answer incoming phone calls professionally
- Make sales follow-up calls to customers
- Schedule inspections, meetings, and appointments
- Communicate with homeowners regarding next steps
Customer Communication
- Be the primary point of contact for office calls
- Provide professional, friendly customer service
- Follow up on estimates, invoices, and job status
Qualifications
- Previous experience as an Office Manager, Administrative Assistant, or similar role
- Experience with QuickBooks (required)
- Strong data entry and organizational skills
- Comfortable speaking with customers on the phone
- Ability to manage multiple priorities with accuracy
- Reliable, punctual, and professional
- Proficient with Microsoft Office / Google Workspace
- Insurance restoration or construction industry experience preferred but not required
