We are looking for an Office manager to organize and coordinate administration duties for our dance studio. Your role is to create and maintain a pleasant work environment, maintain high levels of organization, communicate with families, students, and faculty, and assist in the smooth day to day functioning of the studio.
Office manager duties and responsibilities include greeting visitors, being at the front desk during working hours, registering students, communicating with current families, and helping to organize and keep track of other studio needs such as sizing dancers, ordering costumes, registering for dance competitions, etc. Previous experience as a an Office administrator would be an advantage. A successful Office manager should have experience with a variety of office software (email tools, spreadsheets and databases) and be able to accurately handle administrative duties. Ultimately, the Office manager should be able to ensure the smooth running of the office and help to improve company procedures and day-to-day operation.
Responsibilities
- Serve as the point person for office manager duties including: keeping track of office supplies, cleaning supplies, utility issues, communication with cleaning staff
- Schedule dance studio usage
- registering new dancers
- communication with current families via phone and email
- organize studio data such as costume sizing, costumes ordered, dance competition registration
- learning our studio software program and becoming very familiar with its ins and outs
- Provide general support to visitors
- Plan in-house or off-site activities, like parties, celebrations and conferences
Skills
- Knowledge of office administrator responsibilities, systems and procedures
- Proficiency in using google sheets and other google drive applications
- Able to learn the current studio registration software
- Excellent time management skills and ability to multi-task and prioritize work
- Attention to detail and problem solving skills
- Excellent written and verbal communication skills
- Strong organizational and planning skills in a fast-paced environment
- A creative mind with an ability to suggest improvements
- High School degree; additional qualification as an Administrative assistant or Secretary will be a plus
Job Type: Part-time
Pay: $17.50 - $18.75 per hour
Expected hours: 20 – 25 per week
Schedule:
- 4 hour shift
- Monday to Friday
