Assured Title Services is seeking a top-notch Closing Coordinator to join our Bonita Springs team. In this role, you will ensure that local, state and federal requirements are met and that all paperwork is in order to close a real estate transaction. You will coordinate legal forms involving title, escrow and mortgage loan, as well as collect information on the purchases and sales for all the agents working under the realty office broker.
Duties and Responsibilities include the following. Other duties may be assigned.
- Claim and post incoming deposits, prepare and circulate escrow deposit receipts to appropriate parties, file copies.
- Review client information sheets for accuracy and follow up on missing items. Input and update client information into closer’s choice when we receive completed information. Follow-up with clients if we have not received their information sheets. Ensure that buyers have applied for ownership at associations, that sellers have paid any estoppels fees if applicable, and anything missing to complete the processing stage.
- Follow up with agents to ensure we receive their commission forms before file is transferred to closer. Update agent information in closer’s choice if applicable.
- Follow up with lender to ensure we receive their formal title request timely.
- Order HOA, Condo, Master estoppels, lien searches and payoffs when applicable.
- Review and prepare title commitments for closer’s signature. Send signed commitment to buyer, buyer’s agent, closer and lender if applicable. If there is a lender, fulfill their title request then give to the closer to prepare CD afterwards. Follow-up with lender if needed to order a survey. Order surveys and elevation certificates when applicable.
- Prepare and circulate affidavits to associations/contractors to clear title when needed.
- Request additional information from clients to clear title when needed.
- Follow-up with clients, agent, lenders, surveyors, associations in regards to obtaining requested information to complete the processing stage.
- Keep a current updated list of Director’s open files that are in the processing stage before she takes them over.
- Keep a current updated list for VP’s open files.
- Answer phone calls and emails from the clients in the processing stage. Answer any questions, help them with their information sheets, explain the process, send wire instructions, etc.
- Sit at front desk and greet clients and visitors.
- Assist and support team with misc. administrative functions.
- All other duties as assigned.
- Regular and reliable attendance and your physical presence at the work site.
Qualifications:
- Must have 3-5 years of related service industry experience
- Strong computer skills, including MS Word, Excel and Outlook
- Strong communication and telephone skills are essential
- Previous management or supervisory experience preferred
- Ability to work flexible hours, weekend and on call as needed

Education/Experience:
- High School Diploma or GED required
- College degree preferred
