Operations Specialist (Temporary) – Part-Time Contract – Hybrid
Our client is seeking a highly organized and detail-oriented Operations Specialist to provide temporary coverage during a planned employee leave from July 2026 through January 2027. This part-time role will support business operations, project coordination, accounting, marketing, human resources, and general office administration to ensure continuity across multiple workstreams. The ideal candidate is a proactive administrative professional with strong organizational skills, excellent follow-through, and the ability to manage competing priorities while working independently and collaboratively.
JOB DETAILS
- Part-time contract assignment from July 2026 through January 2027
- 20 hours per week; preferred schedule of 5 days/week, 4 hours/day
- Hybrid schedule with 3–4 days onsite in downtown Minneapolis
- Preferred working hours within the 9:00 a.m.–3:00 p.m. window to support team collaboration
- Pay: $26.00–$27.00/hour, depending on experience

KEY RESPONSIBILITIES
- Coordinate recurring business operations meetings, prepare agendas, track action items, and maintain shared calendars.
- Support day-to-day office operations, including mail distribution, office supplies, facilities coordination, and general administrative tasks.
- Assist with marketing project coordination by managing timelines, maintaining task lists in Jira, coordinating with internal teams and vendors, and supporting event logistics.
- Provide project coordination support for the organization's SOC 2 remediation initiative by tracking deliverables, organizing documentation, scheduling meetings, and monitoring project progress.
- Support accounting functions, including accounts payable and receivable coordination, expense reports, credit card reconciliations, check requests, wire transfer requests, budget tracking, and audit documentation.
- Coordinate HR onboarding and offboarding activities, training logistics, employee communications, and administrative documentation.
- Plan and coordinate internal meetings, leadership meetings, board logistics, and team events, including room reservations, catering, and materials preparation.
- Maintain Teams, SharePoint, Confluence, and other shared resources, ensuring documentation and distribution lists remain current.
- Draft professional communications, monitor deadlines, and provide cross-functional administrative support to ensure operational continuity.
MINIMUM REQUIREMENTS
- Associate's degree or equivalent combination of education and administrative experience preferred.
- 3+ years of administrative, operations, project coordination, office management, or business support experience.
- Experience supporting multiple departments in a fast-paced environment.
- Working knowledge of Microsoft Office, including Outlook and Excel.
- Experience with Jira, Teams, SharePoint, or Confluence is preferred but can be learned.
- Experience supporting accounting functions such as AP, AR, expense reporting, or financial documentation is preferred.
- Strong organizational skills with exceptional attention to detail and follow-through.
- Excellent written and verbal communication skills.
- Ability to prioritize multiple projects, meet deadlines, and work independently with minimal supervision.
- Professional demeanor with the ability to handle confidential financial and HR information.
