Pre-Operative Surgical Coordinator – Plastic Surgery

Position Summary
We are seeking an organized, detail-oriented Pre-Operative Surgical Coordinator to support patients throughout the final stages of preparation for plastic surgery. This position serves as a key point of contact between the patient, surgeon, clinical team, anesthesia team, and surgical facility to ensure every patient is medically, financially, and administratively cleared for surgery.
The ideal candidate is comfortable managing a high volume of patients, communicating pre-operative requirements, reviewing surgical charts, tracking medical clearances, collecting outstanding balances, and ensuring that all required documentation is complete before the patient's scheduled procedure.
Essential Duties and Responsibilities
- Review each patient's surgical chart prior to surgery to ensure all required pre-operative documentation and medical clearances have been received and approved.
- Track and obtain required pre-operative testing, including laboratory results, medical clearance, history and physical examinations, EKGs, imaging, and any additional testing ordered by the surgeon or anesthesia provider.
- Maintain and manage the upcoming surgical schedule to ensure every patient is fully cleared prior to their procedure date.
- Contact patients regarding outstanding pre-operative requirements and follow up until all necessary documentation has been received.
- Provide patients with detailed pre-operative instructions, including medication restrictions, fasting requirements, arrival times, transportation requirements, garment instructions, and other procedure-specific information.
- Answer and initiate a high volume of patient calls, text messages, and emails regarding upcoming surgical procedures and pre-operative requirements.
- Serve as an on-site resource for patients with questions or concerns leading up to surgery.
- Confirm that all required surgical consents, patient forms, medical history, and demographic information are completed and accurately documented.
- Confirm surgical procedure details, surgeon, procedure date, surgical facility, anesthesia requirements, and other case-specific information.
- Coordinate with surgeons, anesthesia providers, nurses, surgical staff, and medical clearance providers when additional documentation or clarification is required.
- Identify abnormal or incomplete laboratory results or medical clearance documentation and escalate concerns to the appropriate clinical team member for review.
- Ensure patients meet the facility's pre-operative requirements and surgical criteria prior to being cleared for surgery.
- Verify that all surgical balances, facility fees, anesthesia fees, and other required patient payments have been collected or properly documented prior to surgery.
- Communicate outstanding balances and payment deadlines to patients and coordinate with the appropriate financial or patient coordination team when needed.
- Assist patients with required documentation, including disability, leave-of-absence, or other surgery-related paperwork.
- Schedule or coordinate pre-operative appointments, follow-up evaluations, and other required appointments as needed.
- Update patient demographics, medical information, emergency contacts, and other information within the electronic medical record or practice management system.
- Maintain accurate and detailed documentation of all patient communications and pre-operative activity.
- Communicate immediately with the surgical team regarding cancellations, medical concerns, incomplete clearances, scheduling issues, or other circumstances that could affect a scheduled procedure.
- Review the upcoming surgical schedule regularly and proactively identify potential issues before the day of surgery.
- Ensure patient confidentiality and maintain compliance with HIPAA and all applicable practice policies.
- Provide timely responses to patient voicemail, email, text, and internal staff inquiries.
- Work closely with patient coordinators and scheduling staff to ensure a smooth transition from surgical booking through the day of surgery.
- Assist with additional surgical coordination and administrative responsibilities as assigned.
Qualifications
- Previous experience in plastic surgery, cosmetic surgery, ambulatory surgery, or another surgical specialty strongly preferred.
- Experience with pre-operative patient coordination or surgical scheduling preferred.
- Strong understanding of medical clearances, laboratory testing, and pre-operative documentation.
- Excellent patient communication and customer service skills.
- Ability to manage a high-volume surgical schedule and multiple patient deadlines simultaneously.
- Strong attention to detail and ability to identify missing or incomplete documentation.
- Comfortable discussing patient balances and payment requirements.
- Proficiency with electronic medical records, practice management systems, email, and standard office software.
- Ability to communicate professionally with surgeons, nurses, anesthesia providers, patients, and outside medical offices.
- Strong organizational, follow-up, and problem-solving skills.
- Must be dependable, professional, and comfortable working in a fast-paced plastic surgery environment.
Key Objective
Ensure that every scheduled surgical patient is medically, administratively, and financially prepared for surgery before the day of their procedure, minimizing last-minute issues, delays, and cancellations.
