About the Role
We are seeking a motivated and detail-oriented Legal Assistant to support our attorneys and ensure the smooth operation of our firm. The ideal candidate is organized, proactive, and committed to providing outstanding service to clients during what can often be sensitive or emotional times.
You will play a key role in managing files, coordinating client communications, preparing legal documents, and assisting with day-to-day administrative tasks that keep our practice running efficiently.
Key Responsibilities
- Provide administrative and paralegal support to attorneys in all aspects of estate planning, probate, and trust administration.
- Draft, proofread, and prepare correspondence, client engagement letters, wills, powers of attorney, and other estate planning documents.
- Manage and organize client files, both electronic and physical, ensuring confidentiality and accuracy.
- Schedule and coordinate client meetings, signings, and court filings.
- Maintain attorney calendars, track deadlines, and manage task lists.
- Communicate professionally with clients, court staff, and other professionals.
- Assist with document signing ceremonies and notarizations.
- Prepare summaries of case information, client communications, and relevant documentation.
- Support billing and client invoicing processes
Qualifications and Skills
- At least 3 years of experience as a legal assistant, legal secretary, or paralegal (estate planning or probate experience preferred).
- Strong knowledge of legal office procedures, terminology, and document formatting.
- Excellent organizational and time-management skills with the ability to prioritize multiple tasks.
- Professional and empathetic communication skills, both written and verbal.
- Proficiency in Microsoft Office Suite (Word, Outlook, Excel) and case management software (e.g., PracticePanther, or similar).
- High level of attention to detail and accuracy.
- Ability to work both independently and collaboratively in a small-firm environment.
- Bachelor's degree preferred. Associate degree, Legal Assistant/Paralegal certificate with five years of estate planning and/or probate experience.
