Job Description:
We are seeking a highly organized and detail-oriented Project Manager Assistant to join our team at Absolute Concrete LLC. This position will provide essential support to the project management team, assisting in the planning, coordination, and execution of construction projects. The ideal candidate will have a strong understanding of construction processes, excellent communication skills, and the ability to manage multiple tasks in a fast-paced environment.
Key Responsibilities:
Preconstruction Support:
- Assist the Project Manager in reviewing project estimates with the Estimator and Superintendent to confirm realistic timeframes for each Scope of Work (SOW).
- Help gather and submit all required contract documentation to the customer, including: Pre-qualification forms, W-9, Certificate of Insurance (COI)
- Upload contract values, budgets, and related documents into Procore following internal guidelines and workflows.
- Prepare and send out Requests for Information (RFIs) to the General Contractor (GC) or Customer, including but not limited to: Updated plans, Foundation CAD files, Staking info and offsets, Approved shop drawings and mix designs, Site contacts and inspection/testing responsibilities
- Follow up on outstanding RFI items to ensure all required information is received within one week.
- Assist with developing the preliminary project schedule based on GC or customer-provided timelines.
- Coordinate with Superintendent and Foreman to gather and upload pour plans and manpower requests to Procore.
- Communicate timelines to the Preconstruction (Precon) Department for CAD rebar shops and form layout drawings.
- Help review safety concerns raised by field teams and assist in documenting necessary action plans.
- Schedule meetings between Absolute’s Superintendent and the GC/Customer Superintendent to review pre-start checklists.
- Follow up with the CAD & Transport Departments to confirm material delivery timelines.
- Verify that all project startup items are uploaded to Procore prior to mobilization.
- Request and organize Transport Lists to ensure delivery of correct materials in proper quantities.
Construction Phase Support:
- Assist the Project Manager with tracking daily labor hours and ensure hours are properly coded to the correct cost codes.
- Help verify concrete and rebar usage is recorded accurately for each SOW.
- Support coordination with the Superintendent to ensure accuracy in Daily Job Reports and assist in resolving field issues.
- Monitor daily updates and report any discrepancies in project productivity or costs to the Project Manager.
- Ensure that any proposed change orders from the field are documented and submitted for approval prior to execution.
- Help maintain and adjust the project schedule as needed, keeping track of key milestones and deadlines.
- Serve as a liaison between the Project Manager and Accounting Department for billing coordination.

Required Qualifications:
- Experience: 1-2 years of experience in project coordination, construction, or related roles.
- Skills:
- Strong organizational and time-management skills.
- Excellent verbal and written communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Experience with project management software (e.g., Procore) is a plus.
- Strong attention to detail and ability to handle multiple tasks simultaneously.
- Basic understanding of construction processes, project scheduling, and budgeting.
