BUSINESS OFFICE MANAGER - Skilled Nursing Facility
Position Summary
The Business Office Manager is responsible for overseeing all administrative and financial operations of the business office, ensuring accurate billing, timely collections, and compliance with federal and state regulations governing skilled nursing facilities. This role serves as a key liaison between residents, families, payers, and clinical staff.
Key Responsibilities
Billing & Accounts Receivable
- Manage Medicare Part A, Medicaid, Medicare Advantage, commercial insurance, and private pay billing processes
- Ensure timely and accurate submission of claims and follow-up on denials and appeals
- Monitor accounts receivable aging reports and implement collection strategies
- Reconcile census data with billing records daily
Admissions & Financial Counseling
- Coordinate with the admissions team to verify insurance benefits and obtain authorizations prior to admission
- Counsel residents and families on financial obligations, payment options, and Medicaid eligibility
- Assist families with Medicaid application processes as needed
Compliance & Reporting
- Ensure all billing and collection practices comply with CMS regulations, HIPAA, and state Medicaid requirements
- Prepare monthly financial reports for the Administrator and corporate leadership
- Maintain organized and audit-ready resident financial files
Staff Supervision
- Supervise business office staff, including reception
- Provide training and performance management for direct reports
Qualifications
- Associate's or Bachelor's degree in Business Administration, Healthcare Administration, Accounting, or a related field preferred
- Minimum 2–3 years of business office experience in a skilled nursing or long-term care setting strongly preferred
- Working knowledge of Medicare, Medicaid, and third-party payer billing requirements
- Proficiency in point-of-care and billing software (PointClickCare, MatrixCare, or similar)
- Strong organizational, communication, and problem-solving skills
- Ability to handle sensitive resident financial information with discretion and professionalism
Preferred Qualifications
- Experience with Medicaid pending applications and spend-down calculations
- Familiarity with MDS and its relationship to Part A billing
- AANAC or AAPACN certification a plus
Work Environment
Full-time, on-site position. Monday–Friday with occasional flexibility required during month-end close or audit periods.
Pay: $27.28 - $32.85 per hour
