Job Summary
We are seeking a dynamic and highly organized Secretary to join our professional team. Responsibilities
- Answer multi-line phone systems promptly and courteously, directing calls accurately and maintaining excellent phone etiquette
- Manage calendar appointments, schedule meetings, and coordinate events using productivity software such as Microsoft Office and Google Workspace
- Perform data entry tasks with precision, maintaining accurate records and filing systems for easy retrieval
- Handle front desk duties including greeting visitors, verifying identities, and providing exceptional customer support
- Assist with office management duties such as supply inventory, filing, proofreading documents, and organizing files efficiently
- Support bookkeeping activities using QuickBooks or similar accounting software to track expenses and maintain financial records
- Provide administrative support to various departments by preparing reports, managing correspondence, and ensuring timely completion of tasks
Skills
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications
- Strong organizational skills with the ability to prioritize tasks effectively and manage time efficiently
- Excellent computer literacy with experience in data entry, clerical work, and technical proficiency in office software
- Bilingual abilities are highly desirable to assist diverse client needs and facilitate communication
- Previous office experience or administrative experience is preferred, especially in medical or dental reception settings
- Knowledge of front desk operations, customer service principles, and phone etiquette is essential
- Experience with bookkeeping software like QuickBooks and familiarity with office management practices are advantageous
