It Takes a Family (ITAF) is seeking an Administrative/Outreach Assistant to join our team located in Laurel, Maryland. ITAF is derived from an ancient African proverb: “It takes a village to raise a child,” which teaches the eternal truth that no man, woman, family, or community is an island. ITAF was founded in 2008 to serve the underserved population.
ITAF is a Joint Commission and state-licensed outpatient mental health clinic with seven locations in New Jersey and one in Laurel, Maryland. Our clinics are intended to serve in areas that would otherwise not have access to mental health services. Our goals are to ensure that mental health services are affordable and accessible to everyone in need, including individuals, families, and children. "We offer a wide range of services, including medication management, psychiatric evaluations, psychological evaluations, individual therapy, family therapy, bariatric assessments and counseling, Postpartum depression, marriage and family therapy, and behavioral interventions. We utilize a combination of behavioral interventions and pharmacological treatment to promote prosperous mental health and wellness in the states of New Jersey and Maryland.
It Takes a Family (ITAF) seeks a hard-working individual to function as a PT Administrative/ Outreach Assistant in our Laurel, MD, location. This position requires extreme attention to detail, the ability to multitask, the ability to build rapport with community partners, the aptitude to learn quickly and the capacity to complete timely documentation while supporting team members.
Job Description
· Distribute marketing material within the community
· Monitor all In Community referrals through provider agencies
· Complete the task of Marketing information
· Schedule appointments and to organize overflowing paper documents
· Make spreadsheets, manage data and create documents on computers using computer software systems
· File and complete medical reports and insurance forms
· Open the office in the morning and greet patients and agency visitors.
Outreach Assistant:
· Providing program information through various media such as email, phone calls, brochures, and other means.
· Outreach through the community through travel and social media
· Generating new referrals while enhancing existing relationships with community organizations.
· Coordination of care services & act as liaison between agency and community.
· Excellent public relations skills with the ability to market effectively with community partners & referral sources.
· Established referral relationships in Maryland.
· Must be able to understand and effectively communicate medical terminology to physicians and office staff.
· Assist with front desk duties such as receiving phone calls, scheduling appointments, collecting copays, and other front desk assigned duties.
· Attend and facilitate community meetings and provide necessary information and collaboration to assist the ITAF Administrative team with access to meet goals.
· Provide information to community-based agencies regarding ITAF services.
· Assessing the needs, issues, and concerns of the respective communities where ITAF provides services.
· Review community event invitations and provide recommendations to the management team.
· Participate in community events as a speaker, presenter, or guest on behalf of the ITAF management team.
· Develop and execute a marketing plan to meet or exceed monthly, quarterly, and annual growth targets.
· Demonstrate a thorough and complete knowledge of the agency, including our vision, mission, and values; the services we provide; and how we differentiate ourselves from other agencies.
· Software experience with Word, Excel, and other applications.
· Identify, evaluate, and prioritize potential referral sources within the agency’s territory and surrounding area.
· Establish and maintain professional relationships with all referral sources.
· Execute marketing campaigns and offer feedback on their effectiveness.
· Establish and maintain brand awareness through referral source contacts.
· Represent the agency and its services in a professional, competent, and responsive manner.
· Work effectively with other agency management and staff.
· Prepare weekly reports of outreach activity.
· Maintain social media outlook for the purpose of outreach
· Other duties as assigned
